Job Description

The Department Administrative & Operations Lead supports the day-to-day administrative and operational needs of the Product Development organization. Reporting directly to the EVP of Product Development. The purpose of this position is straightforward and critical: ensure the department is organized, prepared, and operating efficiently. While this role does not replace Project Management, it supports overall alignment by reinforcing organization, communication, and accountability across the PD leadership team. In addition, this position supports department culture through coordination of service projects, team-building activities, and event logistics as needed. The Department Administrative & Operations Lead plays a central role in helping Product Development function smoothly and professionally while gaining broad exposure to product strategy, engineering, design, and cross-functional execution. Every role at Trove Brands is critical to our success. Your responsibilities will include:

  • Manage calendars, schedule meetings, and provide light administrative support for the EVP of Product Development and Product Development leadership team (as needed).
  • Coordinate domestic and international travel, including building agendas and aligning logistics with internal and external partners.
  • Prepare meeting materials, draft agendas, capture notes, and distribute follow-ups to ensure clarity and accountability.
  • Submit and manage expense reports in a timely and accurate manner.
  • Coordinate shipping logistics for samples, prototypes, trade show materials, and vendor packages, including tracking and troubleshooting as needed.
  • Organize and manage sample storage and inventory, including labeling, tracking, and maintaining orderly access to physical product assets.
  • Coordinate vendor visits, including travel logistics, facility agendas, material preparation, and post-visit documentation.
  • Plan and execute department special projects, including documenting and maintaining internal processes to improve clarity, accessibility, and operational consistency.
  • Assist with document creation, presentations, and internal communications as needed.
  • Coordinate department service projects, team building events, and catering logistics.

  • Ability to manage and prioritize multiple complex projects with competing priorities and deadlines; time management skills are critical—someone who can juggle many balls in the air.
  • Superior organization, self-motivation, and self-management skills, as well as strong analytical and problem-solving skills, are essential
  • Professional demeanor and appearance are a must—friendly, positive, and upbeat personality.
  • Keen attention to detail, sound judgment, commitment to maintain a high level of confidentiality and diplomacy, resourceful and creative.
  • Intermediate to advanced knowledge of software packages, including Microsoft Office Suite, particularly Excel. Ability to quickly learn and adapt to new programs, technologies, or processes.
  • Impeccable communication skills (written and verbal) and interpersonal skills.
