Senior Staff Accountant

Location: West Loop Office - Chicago, IL (on-site)
Department: Finance & Accounting
Reports To: Corporate Controller

Position Summary

The Senior Staff Accountant owns core general ledger and close responsibilities across multiple operating entities. Reporting directly to the Corporate Controller, this role prepares journal entries and reconciliations, drives monthly multi-state sales and use tax compliance, supports lease and acquisition accounting, and prepares the schedules behind our external audit and lender reporting. It is a hands-on role with real ownership and broad exposure in a growing, labor-intensive business.

The ideal candidate takes ownership of their accounts end to end, is comfortable working with large GL, payroll, and billing datasets, and communicates clearly with payroll, HR, billing, operations, and outside advisors.

Essential Responsibilities

General Ledger & Close

  • Prepare and post monthly journal entries, accruals, prepaid amortization, and intercompany entries across multiple legal entities.
  • Perform monthly bank reconciliations for multiple operating accounts and balance sheet reconciliations; research and clear reconciling items timely.
  • Reconcile payroll and labor-related accounts – wages, payroll taxes, benefits, workers' compensation, and related accruals – for a high-volume, largely hourly workforce that includes union-represented employees.
  • Reconcile benefit plan activity (medical, 401(k), and pension) and carrier billings to payroll deductions and HR records.
  • Review corporate purchasing card (P-Card) activity for proper coding, documentation, and policy compliance.
  • Meet month-, quarter-, and year-end close deadlines.

Tax & Compliance

  • Prepare monthly multi-state sales and use tax filings across more than 15 states for security services and electronic security integration activity, including taxability research, rate-change monitoring, and filing-frequency tracking.
  • Assist with state and payroll tax notices, registrations, and coordination with outside tax advisors.

Technical Accounting & Reporting

  • Maintain lease accounting under ASC 842, including the company vehicle fleet, and reconcile lease schedules to lessor billing and the general ledger.
  • Support acquisition accounting and integration of acquired businesses, including opening balance sheet work (ASC 805) and conversion of acquired entities onto company accounting systems.
  • Perform monthly account and P&L variance analysis and prepare supporting schedules for management reporting.
  • Prepare schedules supporting lender covenant compliance reporting.
  • Prepare PBC schedules and workpapers for the annual external audit and serve as the auditor point of contact for assigned areas.
  • Research accounting questions and draft technical accounting memos on assigned topics.

Process & Systems

  • Work extensively in WinTeam (billing, payroll, HR, and GL) and Excel to extract, analyze, and reconcile large datasets.
  • Identify and implement process improvements, automation, and stronger internal controls.
  • Support budgeting, forecasting, and special projects as assigned.

Qualifications

Education

  • Bachelor's degree in Accounting required.
  • CPA, or CPA-eligible and actively pursuing licensure, preferred.

Experience

  • 4–7 years of progressive accounting experience, including ownership of month-end close and balance sheet reconciliations.
  • Multi-entity, multi-state experience strongly preferred.
  • Payroll and labor-cost accounting in a high-volume, hourly workforce (security, staffing, facilities, or similar services) strongly preferred; exposure to union / collective bargaining environments a plus.
  • Multi-state sales and use tax compliance experience preferred.
  • Public accounting (audit) experience, acquisition integration, or accounting system conversion experience a plus.

Technical Skills

  • Strong working knowledge of U.S. GAAP, including ASC 842; familiarity with ASC 805 and ASC 606 a plus.
  • Advanced Excel skills – PivotTables, XLOOKUP / INDEX-MATCH, SUMIFS – and comfort working with files of several hundred thousand rows; Power Query a plus.
  • WinTeam (TEAM Software) experience strongly preferred; experience with other ERP or accounting systems (including QuickBooks) considered.
  • Clear written communication, including documenting accounting conclusions for auditors and management.

Compensation & Benefits

Salary Range: $80,000 – $100,000 annually, based on experience and qualifications.

Benefits Include:

  • Medical, dental, and vision insurance
  • 401(k)
  • Paid time off and paid holidays
