Overview of Opportunity

We are seeking a highly motivated, proactive, and adaptable Administrative Assistant to provide comprehensive administrative and operational support to a fast-paced executive and their team in Laurel, MD.

This role requires someone who thrives in a dynamic, high-demand environment and is comfortable balancing multiple competing priorities while maintaining a positive, can-do attitude. The ideal candidate is a self-starter who anticipates needs, takes initiative, and is willing to jump in wherever needed to keep the executive and team operating efficiently.

This is not a traditional desk-based administrative position. The successful candidate must be comfortable being constantly on the move, managing day-to-day administrative responsibilities, coordinating projects, handling physical tasks, and running errands throughout the day. No two days will look the same, and priorities may shift quickly. The ability to go with the flow, think on your feet, and get things done without needing constant direction is essential.

Key Responsibilities

  • Executive Administrative Support: Perform a wide range of administrative tasks, including complex calendar management, scheduling, deconflicting competing priorities, preparing meeting materials and reports, and managing internal and external communications.
  • Meeting & Travel Coordination: Coordinate domestic and international travel arrangements, itineraries, and associated logistics. Plan and execute internal and external business meetings, conferences, and team events.
  • Project & Team Coordination: Serve as an internal coordinator and project manager to ensure various projects, initiatives, and action items are progressing on schedule. Follow up with stakeholders and proactively identify outstanding items.
  • Day-to-Day Operational Support: Handle a variety of administrative and operational tasks to support the executive and team, including document preparation, office coordination, supply management, and other duties as needed.
  • Errands & Hands-On Support: Frequently travel locally to complete errands, pick up and deliver items, coordinate services, and handle other in-person requests. Must be comfortable with a role that involves significant movement throughout the day and physical, hands-on responsibilities.
  • Proactive Problem-Solving: Anticipate the needs of the executive and team, identify potential issues before they arise, and independently find solutions without waiting for direction.
  • Communication & Responsiveness: Maintain consistent communication with the executive and team, remain accessible by phone, and respond promptly to changing priorities and time-sensitive requests.
  • Additional Responsibilities: Take on other administrative, operational, and special projects as needed. Be willing to step outside traditional administrative responsibilities to ensure the team has what it needs.

Required Qualifications & Expectations

  • Minimum of 2 years of experience with Google Suite, Slack, Zoom, Microsoft Office Suite.
  • Minimum of 2 years of experience with meeting/event planning, and task management.
  • Exceptional organizational, time-management, and multitasking skills.
  • Ability to manage competing priorities and adjust quickly when schedules or needs change.
  • Highly self-motivated with the ability to work independently and take initiative without constant oversight.
  • Strong attention to detail and excellent written and verbal communication skills.
  • A positive, can-do attitude with a willingness to jump in and tackle tasks of all sizes.
  • Ability to remain calm, professional, and solution-oriented in a high-pressure environment.
  • Comfortable performing hands-on tasks and being physically active throughout the workday.
  • Must have reliable personal transportation and the ability to run local errands throughout the DMV area multiple times throughout the day.
  • Must be available to work on-site in Laurel, MD, five days per week.
  • Flexibility to work outside traditional business hours, including before 9:00 AM and after 5:00 PM, as business needs require.
  • Must be accessible by phone and responsive to the executive and team's needs.

The ideal candidate is someone who:

  • Has a true "no task is too big or too small" mentality.
  • Is always thinking one step ahead and anticipating what needs to be done next.
  • Doesn't wait to be told what to do and takes ownership of responsibilities.
  • Is comfortable with ambiguity and can pivot quickly when priorities change.
  • Enjoys staying busy and prefers a role where they are constantly moving rather than sitting behind a desk all day.
  • Is dependable, resourceful, and willing to go the extra mile to support the executive and team.
  • Can roll with the punches, maintain a positive attitude, and find a way to get things done.

Clearance/Citizenship:

  • Ability to obtain a Secret Clearance.
