The role

As we expand our Colombia office, we’re looking to hire a full-time Office Experience Specialist.

Role responsibilities

Office Operations & Management 

  • Oversee daily operations at the Bogotá office, including: 
  • Opening and closing the office. 
  • Handling building entry requests, vendor coordination, and facility management. 
  • Restocking and organizing office supplies, snacks, and beverages. 
  • Maintaining a clean, functional, and inspiring workspace. 
  • Act as the main point of contact with building management and local vendors in Bogotá, ensuring high service standards and alignment with Valtech's values. 
  • Provide additional operational support for our offices and teams in Argentina, Brazil and Mexico, collaborating with local teams to address unique needs and ensure consistency across the region. 
  • Monitor and stay informed about regional developments such as natural disasters, political events, public demonstrations, or environmental challenges (e.g., droughts) to proactively adjust office operations, employee communications, and safety protocols, ensuring a supportive and compliant workplace. 

Employee and Guest/Client Experience 

  • Ensure all employees and visitors feel welcomed and supported with the tools and resources they need. 
  • Collaborate with leadership and the Americas OX team to implement programs that enhance employee engagement and align with Valtech's culture and Employee Value Proposition (EVP). 
  • Support virtual and hybrid work strategies, including coordinating coworking spaces and virtual activities. 
  • Collaborate with client-facing teams to facilitate successful meetings, events, and workspaces, including setting up specialized environments (e.g., clean rooms) and coordinating logistics for offsites, workshops, or other client-related activities to ensure a seamless and professional experience. 

Event Coordination 

  • Plan and execute onsite and virtual events across Bogotá, Argentina, Brazil, and Mexico, including: 
  • Securing venues, managing catering, and preparing communications materials. 
  • Providing on-the-ground support in Bogotá to ensure the success of events. 
  • Strategic Initiatives & Collaboration 
  • Work closely with the Americas OX Team to ensure consistency across Valtech’s regions and offices, aligning local practices with global standards. 
  • Research and implement best practices for hybrid office models, ensuring compliance with local legislation and alignment with Valtech’s sustainability goals. 
  • Partner with the Sustainability and Health & Safety teams to evaluate vendor relationships and explore sustainable, impactful solutions. 
  • Active support with the local Health and Safety (H&S) vendor to schedule the yearly mandatory health and safety training, as well as supporting the legal requirements to be in compliance with the H&S program. 
  • Support special projects related to office renovations, openings, and consolidations. 

Administrative Support 

  • Assist with complex calendar management, meeting logistics, and scheduling across multiple time zones. 
  • Coordinate directly with leadership and their executive assistants, ensuring high levels of professionalism and excellent communication. 
  • Support regional leadership with operational projects, event planning, and other administrative needs as required. 

 

Minimum qualifications

  • 5+ years of experience in office management or a similar role, preferably in a regional or multi-location context. 
  • Excellent written and verbal communication skills in English and Spanish; proficiency in Portuguese is a plus but not required. 
  • Willingness to travel up to 25% to other office locations 
  • Ability to receive deliveries from our vendors, such as office supplies, food, and beverages.

Preferred qualifications

  • Strong organizational, project management, and multitasking skills, with attention to detail. 
  • Experience managing hybrid work environments and supporting employees both virtually and in-person 
  • Proven ability to prioritize and manage changing priorities in a fast-paced environment. 
  • Collaborative mindset with a proactive approach to identifying and solving challenges. 
  • Experience coordinating events, managing executive-level calendars, and preparing materials for meetings. 
  • Ability to maintain confidentiality and handle sensitive information with professionalism.
