Operations Support Coordinator

Summary:
The Operations Support Coordinator is responsible for facilitating the maintenance and repair activities of cell towers and related facilities nationally. This role requires strong organizational skills & experience managing multiple projects, as well as an understanding of facilities management, procurement strategies, POs, invoicing & vendor management. This role will coordinate with vendors and internal teams to ensure timely and efficient completion of projects, while maintaining high standards of quality and safety.
Job Functions:
- Assist in managing the OPEX and CAPEX budgets for repair and maintenance
- Review sites via vendor photos and outsource routine and on-demand maintenance, including snow removal, grounds care, access road upkeep, trash removal, HVAC, generator, fence, signage, and lock repairs, etc.
- Implement competitive bidding processes to solicit bids from multiple vendors for procurement needs, ensuring the company obtains the best possible pricing and terms
- Assess bids based on price, quality, delivery, and compliance
- Negotiate favorable pricing and terms using competitive bidding results to secure the best value for the company
- Foster positive vendor relationships ensuring prompt communication for performance optimization and risk mitigation
- Manage & track daily project plans, coordinate internal and external resources, and ensure timely completion within budget
- Complete project closure, including scope of work completion documentation review, document (photos) uploads, ticketing and jobs closure.
- Update and maintain accurate site information in the database, ensuring data integrity and quality
- Assist and coordinate to help close out all accounting requirements for projects, including requisitions, purchase orders, invoice approvals, etc.
- Analyze procurement data to identify cost-saving opportunities and improve efficiency
- Ensure adherence to safety, environmental, and safety regulations
- Manage internal and external communications, build relationships, and address issues by identifying requirements, anticipating and resolving problems
- Assist the Mergers & Acquisitions team with integrating newly acquired sites into VB's portfolio

Working Conditions and Physical Demands:
Position will work directly from the corporate office with minimum travel.
Education and Experience:
- Minimum 3 years of experience in facilities management, construction project management, or a similar role
- Experience managing budgets, vendors, and projects
- Knowledge of construction practices, building codes, and safety regulations
- Thorough knowledge of telecommunication construction practices
- Proficiency in Excel and other Microsoft systems
- Excellent client relationship management skills
- Disciplined, organized, and thorough individual who is a self-starter
- Effective in an entrepreneurial culture, working independently and as part of a team
