Preventative Maintenance Coordinator

THE ROLE :

The Preventative Maintenance Coordinator position is an integral component of a team structure whose complete focus is directed at delivering a high quality, facility maintenance program to Vixxo Clients. The Preventative Maintenance Coordinator works closely with the Account Operations Team, Sourcing, Vixxo Service Providers (SP), Account Analysts and Account Directors to ensure delivery of the objectives set for that Vixxo Client. The Preventative Maintenance Coordinator is responsible for the day to day operations regarding the Preventative Maintenance Program for Vixxo Clients in all of its functionalities.

TOP RESPONSIBILITIES :

  • Adapt and adhere to Client specific processes to meet expectations.
  • Manage and Implement day-to-day activities of the Client’s Preventative Maintenance Program.
  • Provide Weekly/Monthly/Quarterly reporting to Account Directors and Operations Teams.
  • Provide weekly and monthly progress reports to Service Providers and Client showing PM completions versus scheduled activities.
  • Run gap analyses to identify missing PM’s and/or erroneous PM’s.
  • Bulk Load PM additions/adjustments.
  • Create and manage the PM Matrix/Master Preventative Maintenance File.
  • Work directly with Clients to obtain approval for PM adjustments, additions, or cancellations.
  • Work with the Dispute Team to help identify Credits.
  • Collaborate with Service Providers to attain quality service and adherence to SOP’s.
  • Work with Sourcing to identify where new SPs are needed for PM services.
  • Communicate with Operations team to ensure accurate site specific details and correct PM setup.
  • Manage Service Provider performance ensure FM’s highest standards of Quality.
  • Act as a liaison between Service Providers and Vixxo / Client.
  • Continue to strengthen relationship with the SP's on a regular basis: ensuring process is running smoothly, issues are resolved timely and services are rendered accordingly.
  • Provide Sourcing with Preventative Maintenance modifications as needed in order to make changes to the system (store opening/closing, SP changes, PM additions/cancellations).

QUALIFICATIONS :

  • Ability to communicate effectively, both written and verbal.
  • Highly organized.
  • High degree of self-motivation/self-starter and a quick learner.
  • Ability to gather and analyze statistical data and generate reports.
  • Excellent time management skills.
  • Advanced skills in Word, Excel, and PowerPoint.
  • Ability to effectively establish priorities and develop clear objectives, goals and action plans to meet or exceed customer expectations within a fast paced environment.
  • Ability to create a strong sense of cooperation and teamwork with both internal and external customers.
  • Ability to meet and drive information with other departments
