About the role:
We’re looking for a Project Manager to lead and coordinate special projects for key clients. You’ll serve as the central point of contact across internal teams, external partners, and vendors—ensuring flawless execution and alignment from start to finish.
This role is perfect for someone who thrives in fast-paced environments, is obsessed with organization, and loves seeing a project move seamlessly from concept to completion. You’ll manage a wide variety of initiatives that fall outside traditional campaign work, from events and gifting programs to RFPs, pitchbacks, and vendor partnerships, helping Whalar deliver exceptional experiences at every turn.
Here’s what you’ll do day-to-day:
- Manage and coordinate the full lifecycle of special projects, RFPs, and pitchbacks for key clients, ensuring timelines, deliverables, and quality standards are met.
- Act as the central point of contact across internal teams, clients, and vendors—keeping communication clear and projects moving smoothly.
- Lead vendor sourcing, vetting, and coordination while maintaining strong relationships and making informed decisions to keep work on track.
- Collaborate cross-functionally with Client Services, Strategy, and Creative teams to align roles, priorities, and project goals.
- Support the development of polished decks and presentations for new business and client initiatives.
- Track project progress, identify risks early, and proactively solve challenges to ensure on-time delivery.
- Manage project documentation, shared files, and vendor invoicing, ensuring accuracy and on-time payments.
Here’s what we’re looking for:
- 6+ years of project management experience, ideally in creator marketing, media, creative production, or new business environments.
- Strong understanding of the social media and creator landscape.
- Proven ability to manage multiple complex projects simultaneously in a fast-paced environment.
- Hands-on experience with project management tools like Asana, Monday.com, or Trello.
- Exceptional organization, multitasking, and attention to detail.
- Excellent communication and interpersonal skills, with the ability to collaborate across teams and with senior leadership.
- Skilled in timeline creation, task delegation, and aligning teams around shared goals.
- Proficient in PowerPoint or Google Slides, with the ability to design structured, visually engaging presentations.
- A proactive, resilient problem solver who thrives on structure, clarity, and driving projects to completion.
The salary range for this role is $90,000 - $125,000 and serves as a general guideline reflecting the potential compensation for the role. The final salary offer will be determined based on a comprehensive evaluation of factors such as the candidate's experience, expertise, alignment with the position's requirements, and, ultimately budget approvals.
