Workplace Coordinator

About the job

About WithCoverage:

WithCoverage replaces the traditional insurance brokerage with AI-supercharged risk management designed for the modern economy.

We partner with over one thousand high-growth, category-defining companies, including GoPuff, Eight Sleep, Bombas, Chomps, and Blank Street Coffee. Our clients span iconic consumer brands, hospitality leaders, GCs, advanced manufacturers, and next-generation defense contractors. They operate in complex risk environments and need a partner that can move at their speed.

Instead of a fragmented, manual brokerage stack, we have built a new category: elite risk advisors operating on top of proprietary technology. Our in-house Agency Management System gives our team and AI agents full visibility into policies, exposures, claims, billing, and commissions. This platform enables deep automation, better decisions, and a fundamentally higher standard of service.

WithCoverage was founded by JD Ross (co-founder of Opendoor) and Max Brenner (Bain, Compound). We have raised over $43M from leading investors including Sequoia, 8VC, Khosla Ventures and Crystal Venture Partners.

Our ambition is not to build a better brokerage. It is to redefine how risk is managed across the economy.

Why Join Us:

  • Grow Faster – We’re scaling quickly, giving you significant opportunities to learn, lead, and shape your career and the company's future.
  • Work That Matters – We protect the world’s most innovative brands: consumer icons, hospitality leaders, next-gen defense contractors, and US manufacturers.
  • Redefine an Industry – Insurance is one of the largest, slowest-moving markets. We rewrite the playbook with proprietary technology, automation, and AI.
  • Financial Rewards – We hire the best and invest in you. That means competitive comp, meaningful equity, and excellent benefits. We believe strongly in internal promotion and lay out a plan for everyone's career growth.

About the role:

WithCoverage is growing fast, and our New York office is where much of that growth shows up first: new hires on Monday mornings, candidates arriving for onsite interviews, clients and partners coming in for events. We're hiring a Workplace Experience Coordinator to own the day-to-day of that office and make every person who walks through the door feel expected and set up to succeed.

You'll keep the space running smoothly, take ownership of the logistics behind onboarding and offboarding, support our recruiting team with candidate experience, and help build the rituals that make WithCoverage a place people want to be. You'll work closely with People Operations and Talent Acquisition.

What you'll do

Run the office (about 60% of your time)

  • Be the go-to for everything in the NYC office: building management, access/ID cards, deliveries, mail and the front door
  • Own office supplies, snacks and pantry ordering through a single, centralized process
  • Restock snacks and drinks throughout the day, including the kitchen refrigerators and pantry
  • Coordinate team meals, including catering and food delivery, and keep the kitchen and common areas in good shape
  • Maintain the seating plan and assign desks for new hires and visitors
  • Track and manage vendors, recurring orders and office spend against budget

Support onboarding and offboarding (about 20%)

  • Prepare, ship and track laptops and equipment for new hires and remote employees; handle return shipping for offboarding
  • Get new hires set up on day 1: desk ready, office tour and swag on hand, first-day logistics confirmed
  • Lead new hire orientation, covering our mission, values, benefits overview and office basics
  • Help coordinate new hire swag/welcome kits and the weekly new joiner lunch
  • Support system access set-up and other onboarding tasks

Front-of-house and guest experience (about 10%)

  • Greet everyone who comes into the office, including candidates, clients, partners and vendors, and get them settled
  • Set up conference rooms for meetings and interviews, and reset them afterward
  • Keep in-office interview schedules running on time
  • Partner with our Recruiting Coordinator on onsite interview logistics so the experience feels seamless

Events and culture (about 10%)

  • Plan and run in-office events end to end: catering, setup, confirmations and day-of support
  • Help bring culture initiatives to life, from new hire lunches to team celebrations

What you bring

  • 1–3 years in office coordination, workplace operations, hospitality, front desk or a similar fast-paced, people-facing role
  • You love being the person who makes things run, and you notice what's missing before anyone asks
  • Highly organized: you juggle deliveries, a catered lunch and a candidate arrival in the same hour without dropping anything
  • Warm, polished communication with candidates, new hires, executives and building staff
  • Comfortable with tools like Google Workspace, Slack and an HRIS (we use Rippling); experience with Greenhouse is a plus
  • Startup or high-growth company experience is a plus

This role is on-site in our New York office. The expected cash compensation range for this position at the start of employment is $32-36/hour. Expected hours are 9am to 4pm Monday through Thursday (approximately 26 hours per week).
