Position Overview

Woolpert is hiring a GeoBase Marketing and Operations Coordinator (Business Support Manager) to work at Lackland Air Force Base (AFB) in San Antonio, Texas. This is an on-site role with a schedule of 4 days working at the Air Force Civil Engineer Center (AFCEC) on Lackland AFB and 1 day working remotely.

The GeoBase Marketing and Operations Coordinator will be a part be part of a dynamic fast-paced team supporting the United States Department of the Air Force (DAF) for the DAF GeoBase Program, which manages Air Force Civil Engineering GIS data and capabilities in an enterprise environment. The Coordinator will provide high impact support to the client program managers’ productivity, managing confidential information and processing complex organization requests. They will serve as a project leader, providing direction to team activities and managing budget and document preparation, project milestones, stakeholder communications, and vendor negotiations in coordination with GeoBase Service Desk managers.

The Marketing and Operations Coordinator will prepare and manage organization events, calendars, meetings, travel itineraries, and official communications. They will help devise branding guidelines, creating strategies to optimize communication and marketing through program customer analyses, business data infographics, and other visual aids.

What You Will Do:

As a GeoBase Marketing and Operations Coordinator (Business Support Manager) at Woolpert, you will:

  • Be responsible for duties in four (4) DAF GeoBase Program focus areas:
  • Project Management:
    • Design, lead, and/or take ownership of projects - serve as team or project leader, providing direction to team activities by facilitating information validation and team decision-making processes
    • Guide formation of teams with required skills and talents to ensure client task completion
    • Conduct specialized research and analyses to construct and map decisions that are within policy guidelines
    • Manage budget preparation, vendor coordination, milestone management, stakeholder communication, and document management
    • Plan meetings at all levels (e.g., leadership syncs, multi-day conferences, product demonstrations, industry talks)
    • Create or update the DAF GeoBase Knowledge Base, documenting current workflows, Standard Operating Procedures (SOP), end user self-help, and DAF GeoBase Program functional processes
  • Design and Marketing:
    • Create and update branding guidelines to promote brand awareness and brand recognition
    • Create strategies to optimize client organization messaging and marketing through analysis of audiences, available communication channels, and intended impacts
    • Leverage organization content management system to ensure development of creative products that require cross collaboration
    • Converts program business data to infographics and other visual aids to convey messaging
  • Communications:
    • Process complex internal and external information requests
    • Manage and maintain highly confidential and sensitive information
    • Maintain and update current information on organization leadership collaboration channels
    • Screen program communications (mail, email, chat, phone calls, etc.) at all levels
    • Develop and deliver presentations that clearly and concisely convey appropriate program and organization messages
  • Administration:
    • Provide support resulting in high impacts to program managers’ productivity, making program- and organization-wide contributions on leaders’ behalf
    • Perform strategy-related, complex, and varying duties that have Air Force- or program-wide scope, focus, and impact
    • Organize and review calendar schedules to gather prework and conducts analyses to prepare leaders for meetings based on project and program requirements
    • Prepare concise, complete travel itineraries for program managers and others as required, using discretion to arrange travel, coordinate events, and schedule meetings
    • Set examples for the team in accomplishing efficient, effective processes, coaching others on delivering process results
    • Administer policies and procedures across wide audiences
    • Apply developed subject matter knowledge to solve common business issues within established guidelines, recommending variances or exceptions when appropriate
    • Prepare and edit complex documents that are situation-appropriate and representative of leaders’ style, company culture, and Department of the Air Force standards
    • Produce business documents from outlines or independently sourced information
    • Provide proactive approaches to deliver creative and mission essential products that require multi-person collaboration and meet firm client deadlines

What You Will Bring:

  • U.S. citizenship
  • Active Tier 1 Investigation (NACI - National Agency Check and Inquiries), security clearance, or the ability to pass a Tier 1 Investigation
    • Willingness to undergo a pre-employment background check and drug screening
  • A related degree (Marketing, Communications, Management, etc.) or comparable formal training, certification, or work experience
  • Two plus (2+) years of relevant Marketing, Communications, or Management experience
  • Experience operating and maintaining office equipment (e.g., copiers, printers, conference room audio/video equipment)
  • Strong technical proficiency using Microsoft Office software and other PC applications required by the job, such as Canva and Adobe In-Design
  • Agile methodology experience, especially with Atlassian (Jira, Confluence) software
  • Exceptional verbal and written communication and presentation skills:
    • Letter and memo writing
    • Punctuation, grammar, sentence structure, and style
    • Using appropriate communication vehicle given the situation (e.g., face-to-face, e-mail, voicemail, video conferencing)
  • Excellent writing skills that span technical documentation, visual aids, infographics, and briefings
  • Attention to detail with a commitment to quality that aligns with Woolpert and client standards
  • Strong organizational, time management, and analytical skills
  • Ability to work independently, collaboratively as part of a team, and as a member of a large organization
  • Ability to offer constructive feedback and problem solving, as well as clear direction to support goals
  • The following experience is favored: 
    • Experience developing marketing products independently
    • Experience in office management, supervision, or administrative leadership
    • Experience working with the DoD or in the Defense industry

Base pay offered may vary depending on job-related knowledge, skills, and experience.

Pay Range

$6,000 - $70,000 USD
