We are seeking experienced Project Coordinator to join our growing architectural team and ensure the accuracy, consistency and quality of project documentation across all stages of design and delivery.
This is an exciting opportunity for someone who thrives in a structured, fast‑paced environment and enjoys being the go‑to person for project coordination excellence.
About You:
You'll play a key role in supporting architects, designers, and project managers on a wide range of architectural and construction projects. Your work will directly contribute to smoother collaboration, higher quality outputs, and successful project delivery.
Key Responsibilities:
Document Management & Control
- Maintain and manage the master document register for multiple architectural projects
- Control drawings, specifications, reports, RFIs, correspondence and other project documentation
- Enforce naming conventions, revision control and file management standards
- Upload, distribute and track documents across systems such as Aconex, Procore, TeamBinder, BIM 360 or SharePoint
Quality Assurance & Version Control
- Review documents for completeness and compliance
- Ensure only current versions are in circulation
- Prepare transmittals and manage timely distribution to internal and external stakeholders
Project Coordination
- Support architects and project managers with organising and compiling design documentation
- Assist with tender packages, planning submissions and client milestone deliverables
Compliance & Archiving
- Maintain audit-ready documentation
- Oversee secure storage, retrieval and long-term archiving of files
- Ensure documentation aligns with contractual, regulatory and QA requirements
Systems & Administration
- Help implement and optimise document management systems
- Provide guidance and training to staff
- Produce reporting on document status and outstanding actions
Ideal Candidate Profile:
- Certificate/Diploma in Business Administration, Construction Administration or similar
- Experience as a Document Controller in an architecture, engineering or construction environment
- Strong understanding of architectural drawing sets and workflows
- High accuracy, strong attention to detail and excellent organisational skills
- Confident communicator with strong written and verbal skills
- Proficiency with Microsoft Office and PDF mark‑up tools
- Experience with document control platforms (e.g., Aconex, Procore, TeamBinder, BIM 360, SharePoint)
Desirable
- Understanding of BIM workflows
- Experience with ISO 9001 or internal QA systems
- Knowledge of architectural terminology and industry standards
