Senior Executive Assistant to the Chief Sales Officer
About the Role:
Xometry is seeking a highly intelligent and resourceful Senior Executive Assistant to support the Chief Sales Officer (CSO). This role requires a proactive individual with exceptional organizational, communication, and problem-solving skills. The ideal candidate will be a true partner to the CSO, anticipating needs, managing complex schedules, and driving projects forward with minimal supervision.
This role requires a presence in our Rockville, MD office 4 days per week. While we value in-person collaboration, we also offer flexibility for holiday weeks, school breaks, special circumstances, and when the CSO is traveling.
Responsibilities:
- Calendar Management: Expertly manage the CSO's & CMO’s calendar in a fast-paced environment, prioritizing meetings, resolving conflicts, and ensuring seamless communication with all parties.
- Travel & Logistics: Coordinate complex travel arrangements, including flights, accommodations, and itineraries for the CSO & CMO’s and team members.
- Communication: Draft and respond to emails on behalf of Executives, maintaining a professional and consistent tone.
- Project Management: Take ownership of projects assigned by the Executives, driving them forward with minimal supervision and ensuring timely completion.
- Research & Analysis: Conduct in-depth research and analysis on various topics as requested by the CSO.
- Expense Management: Manage expenses for the CSO and other executives using Expensify.
- Administrative Support: Provide general administrative support, including preparing reports, presentations.
- Team Support: Provide backup support to other teams as needed, including CEO and CEO’s EA.
- Facilities Assistance: Assist with office tasks, conference room bookings, visitor reception, and catering.
Qualifications:
- Intelligence and Critical Thinking: Demonstrated high IQ and exceptional critical thinking skills with the ability to analyze information, identify problems, and develop effective solutions.
- Proactive Problem-Solver: A self-starter with a bias for action who anticipates needs, thrives in a fast-paced environment, and takes initiative to resolve issues quickly and effectively before they escalate.
- Exceptional Communication: Excellent written and verbal communication skills with the ability to interact effectively with individuals at all levels.
- Organization and Time Management: Highly organized with strong time management skills and the ability to prioritize effectively in a fast-paced environment.
- Discretion and Confidentiality: Unwavering commitment to maintaining confidentiality and exercising discretion in handling sensitive information.
- Technical Proficiency: Proficient in Google Suite, Microsoft Suite, Zoom, Slack, and other relevant software.
- Experience: 5+ years of experience as an Executive Assistant in a corporate environment, supporting C-level executives.
- Education: Bachelor's degree preferred.
