The Role
We are looking for a highly skilled and experienced HR Business Partner to oversee local HR responsibilities and office operations at our Kajaani location. We encourage applications from HR professionals who would like to add facilities management to their responsibilities.
The successful candidate will handle all local HR matters, including payroll, onboarding, offboarding, as well as general HR administration. You will also help manage the Kajaani office and workplace operations in conjunction with the Data Center Director.
The ideal candidate will be a proactive problem-solver and HR specialist, comfortable managing multiple workstreams and ensuring a world-class office and employee experience.
This is a full-time, permanent role based in Kajaani, Finland.
Key Responsibilities
HR & Payroll Responsibilities
• Local HR Administration – Act as the first point of contact for HR-related queries within Kajaani.
• Payroll Oversight – Liaise with payroll providers, ensure accurate payroll processing, and manage local compliance requirements.
• Onboarding & Offboarding – Ensure smooth employee onboarding and exit processes, coordinating closely with the global HR team.
• HR Compliance & Awareness – Maintain an understanding of Finnish employment laws, assist with HR documentation, and ensure HR best practices are followed.
• Employee Engagement & Wellbeing – Support local employee welfare initiatives, contributing to a positive workplace culture.
Office & Facilities Management (in conjunction with local Data Center Director)
• Line Management – Potential future oversight of the Front of House/Administration team, including holiday cover, performance reviews, and objective setting.
• Facilities Management – Ensure the office is maintained to a high standard, overseeing repairs, renovations, routine maintenance, and cleaning.
• Contractor & Vendor Management – Oversee all third-party vendors, conduct performance reviews, negotiate contracts, and evaluate alternative service providers when necessary.
• Building Management – Collaborate with the building management team on access control, permit approvals, and maintenance requests.
• Health & Safety Compliance – Support designated EHS officer with local workplace health and safety regulations, risk assessments and policy updates.
• Budget Control & Procurement – Manage the office management budget, track monthly expenses, and procure office supplies efficiently.
• Office Operations & General Administration – Be the first point of contact for all workplace-related matters, ensuring the smooth daily running of the office. Help to organize local event activities.
• Global Coordination – Work closely with the global office management team to maintain a consistent standard across all locations.
• Project Management – Support the COO and leadership on ad hoc projects, including construction and office fit-outs.
Essential Attributes
- Experience with Finnish HR processes, including payroll, onboarding, and local employment regulations.
- Excellent communication and leadership skills, with a proven ability to manage multiple stakeholders.
- A structured and organised approach to work, with strong problem-solving and decision-making abilities.
- Resilience and adaptability, capable of working under pressure and within tight deadlines.
- Highly IT-literate, with experience using modern collaboration tools (e.g., Asana, Slack, Outlook).
- Personable and proactive; able to identify opportunities for improvement.
- Organised, reliable, and results-driven, with a passion for creating an outstanding employee and workplace experience.
- Experience managing a high-class office environment (including facilities) is preferred but not essential.
