The Role

As Human Resources Operations Specialist, you will play a pivotal role in the success of Artefact US by attracting, hiring, and supporting top talent, while helping to create a dynamic, inclusive, and high-performing culture. This hybrid role blends recruitment and resourcing with broader HR generalist responsibilities and is central to our growth and employee experience.

Key Responsibilities

Talent Acquisition & Recruitment

  • Manage end-to-end recruitment for junior to mid-level roles, ensuring an excellent candidate experience.
  • Partner with hiring managers to proactively build strong talent pipelines in alignment with business strategy and headcount plans.
  • Manage advertising, screening, interviewing, and offer stages.
  • Be the point person for interview coordination, ensuring schedules run smoothly and candidates feel valued.
  • Support the hiring process with posting roles, reviewing applications, and collaborating with hiring teams.
  • Lead employer branding initiatives via social media, events, and our careers platform.
  • Represent the company brand with professionalism and warmth, ensuring a top-notch candidate journey.
  • Track recruitment metrics and generate insights (time to hire, role fill rates, pipeline health, etc.).

Resourcing & Workforce Planning

  • Own the resourcing process: track resourcing requests, manage Artefact’s internal resourcing system, and ensure project teams are optimally staffed.
  • Partner with project managers and leadership to align the right people with the right projects, balancing skills, availability, and timelines.
  • Maintain clear, accurate staffing trackers that help leadership make smart resourcing decisions.
  • Monitor team utilisation, future project pipelines, and bench availability.
  • Anticipate upcoming needs and flag potential resourcing gaps or excess availability.
  • Keep key stakeholders informed of current and forecasted resourcing needs.
  • Manage associate contractor engagement, including sourcing, contracting, onboarding, and offboarding.

Onboarding & Offboarding

  • Design welcoming, structured onboarding experiences that set new hires up for success.
  • Coordinate logistics: from equipment and systems access to team introductions and training sessions.
  • Support smooth offboarding with attention to compliance, knowledge transfer, and employee experience.

Training & Development Support

  • Track training programs and certifications, ensuring employees are equipped with the skills they need.
  • Help plan and organize learning sessions, workshops, and internal knowledge-sharing.
  • Act as a connector between employees and development opportunities.

HR Operations & Employee Support

  • Serve as the main point of contact for day-to-day HR matters, providing guidance to managers and employees across the business.
  • Manage and coordinate the performance appraisal process, including timelines, documentation, and follow-ups.
  • Support employee benefits by liaising with providers and ensuring employees are well-informed and supported.
  • Support and advise on employee relations (ER) cases, including absence management, informal grievances, and performance matters, escalating when needed.
  • Assist in updating and implementing HR policies, ensuring alignment with current employment law and best practice.
  • Maintain accurate employee data and HR records across systems.
  • Prepare HR reports and metrics that inform leadership decisions.
  • Support compliance with company policies, labor laws, and best practices.

Talent & Stakeholder Engagement

  • Partner with key business stakeholders to ensure people processes align with company needs and culture.
  • Contribute to initiatives that improve employee engagement, wellbeing, happiness, and D&I communications, initiatives and activities.
  • Keep informed on industry and employment trends and recommend process improvements.

Skills and Experience Required

  • Bachelor’s degree in HR, Business Administration, or a related field.
  • Minimum 2-3 years of experience, ideally within a technology, digital, agency, or creative environment.
  • Proven experience in recruitment, particularly for digital marketing and/or technology roles.
  • Strong understanding of resourcing and workforce planning.
  • Excellent project management skills and ability to work at pace with a high level of accuracy.
  • Proactive and self-motivated with strong organisational and problem-solving skills.
  • Excellent communication and interpersonal skills; able to build credibility across all levels.
  • High level of discretion, integrity, and professionalism.
