This position is a split position between Step One Early Intervention and In-Home Therapy, with 60% of time allocated to Step One and 40% of time allocated to In-Home Therapy. Under the direction of the Director of Clinic Administrative Services, is responsible for programmatic support to the Step One and In-Home Therapy teams.
The Program Administrative Assistant has the responsibility for...
- Answering the phone, includes taking referral information, client questions and requests for scheduling.
- Calling families to schedule initial intakes, obtain insurance information; other phone calls to referral sources and DCF, as necessary.
- Accurate data entry of referral information and exports to create new client records in EICS (DPH system).
- Accurate data Entry of evaluation and IFSP data into TBR, including verification that TBR information accurately uploads into the DPH Client System.
- Processing of intake packets, including mailing releases for medical records.
- Processing of initial evaluations, including data entry and notification of referral sources and pediatrician.
- Processing of annual, 6 month review, and exit evaluation packets, including mailing of releases and information to pediatricians.
- In coordination with the billing and intake departments, monitors and communicates changes to insurance eligibility status and changes to insurance authorization status to clinical staff, billing staff, intake staff, and program leadership.
- Coordinates and obtains insurance authorizations and, as needed, supplies continuing care forms to clinical staff. Consulting with the clinical staff, medical staff, and program leadership as needed.
- Enters authorization for services into Avatar.
- Reviews insurance status with clients and, when necessary, uploads a copy of the client’s insurance card to the client's Avatar chart. Coordinates insurance updates for clients, sending information to the intake department to be updated in the Avatar system.
- Answers questions related to billing and insurance.
- Reviews with Director of Clinic Administrative Services or designee lapses in insurance coverage, services unable to obtain authorization.
- Responds to billing department and intake inquiries.
- Ensures that all clinical and legal information and documentation is filed/scanned in client charts within one business day.
Requirements:
- 1-2 years office experience with demonstrated effective communication skills and proven organizational and interpersonal skills preferred.
- Basic understanding of insurance requirements.
- Computer literacy and adaptability; ability to learn the TBR and DPH Client Systems
- Telephone experience required.
- Understanding of filing system.
- Be detailed oriented and well organized.
- Ability to gain a solid understanding of program’s mission and services.
- Ability to work as part of a team.
- Good typing skills
Compensation is based on candidate experience, qualifications, and certifications and licenses. Annual ranges listed are based on a full-time, 40 hours per week position.
Salary Range
$22.40 - $25.25 USD
