We are seeking a proactive and detail-oriented Inbound Lead Coordinator to serve as an appointment setter and the primary point of contact for all inbound leads. This entry-level sales role is ideal for someone who thrives on being responsive, is well-organized, and wants to play a pivotal part in converting interest into booked meetings. You’ll be responsible for managing our inbound funnel—from chatbots and website forms to phone calls and calendar bookings—ensuring leads are responded to promptly and routed to the appropriate sales or partner representative. This is a hybrid role, based out of our Chicago office.
Key Responsibilities:
Inbound Lead Response & Appointment Setting
- Own all inbound channels: Chatbot, Lead Forms, Website Calls, Online Calendar Bookings
- Respond to inbound leads live in the chat or ensure auto replies are effective and are resulting in booked calendar appointments. Take calendar calls when sellers are not available.
- Qualify leads with light discovery to validate interest, fit, and routing (Sales vs. Partner) and quickly disqualify or reroute inbound requests that are job enquiries, customer requests or sales pitches.
- Schedule appointments on behalf of sales or partner directors, ensuring proper follow-through
- Log all activity and interactions into our CRM and maintain clean records
Funnel Monitoring & Reporting
- Track every lead from initial touchpoint to appointment set
- Provide daily reporting on lead flow, response time, and handoff status
- Flag issues with lead quality, routing delays, or system inefficiencies
- Collaborate with Sales Ops and RevOps to troubleshoot lead flow inefficiencies or bottlenecks
Cross-Team Coordination
- Ensure smooth handoffs to sales and partnerships, based on lead type
- Work closely with marketing to provide feedback on lead quality from various campaigns
- Collaborate with sales to improve calendar coverage and availability for fast scheduling
Product
- Provide support to sales processes by showcasing our services to potential customers through virtual demonstrations, effectively communicating key features and benefits.
Qualifications:
- 0–2 years of experience in sales, customer service, or appointment setting
- Excellent written and verbal communication skills
- Quick thinker with strong attention to detail and time management
- Comfortable working in CRM and scheduling tools (e.g., HubSpot)
- High sense of urgency and accountability—responsive and proactive
- Organized, coachable, and eager to learn the sales process from the ground up
