Job Summary:
The Assistant Project Manager (APM) supports the planning, coordination, and execution of civil/site development projects from pre‑construction through closeout. Working under the direction of a Project Manager, the APM helps ensure projects are delivered safely, on schedule, within budget, and to quality standards.
This role is ideal for someone who is technically strong, highly organized, eager to learn, and ready to grow into a full Project Manager role. The APM collaborates with engineers, subcontractors, field teams, and clients while assisting with documentation, scheduling, procurement, and daily project administration.
Job Duties:
Pre‑Construction Support
- Assist in reviewing project plans, specifications, and scope with engineers, surveyors, and clients.
- Support estimating efforts, takeoffs, and constructability reviews.
- Help prepare preliminary schedules, budgets, and resource plans.
- Identify long‑lead materials and assist with early procurement coordination.
- Help prepare bid packages and gather subcontractor proposals.
Permitting & Compliance
- Assist with permit applications, documentation, and tracking.
- Coordinate with regulatory agencies for inspections and approvals.
- Maintain compliance records for environmental, erosion control, and municipal requirements.
Scheduling & Coordination
- Support the development and updating of project schedules.
- Track critical path activities and upcoming milestones.
- Coordinate with Superintendents to ensure materials, equipment, and crews are aligned with schedule needs.
- Help adjust schedules based on field conditions or design changes.
Procurement & Materials Management
- Assist in purchasing materials, equipment, and subcontracted services.
- Track deliveries, verify quantities, and resolve discrepancies.
- Maintain logs for materials, submittals, and equipment usage.
Subcontractor & Vendor Support
- Help prepare subcontract agreements and scopes of work.
- Coordinate subcontractor schedules and documentation.
- Attend coordination meetings and assist in resolving conflicts or issues.
- Track subcontractor performance and compliance.
Field Operations Support
- Conduct regular site visits to observe progress, quality, and safety.
- Assist Superintendents with documentation, RFIs, and field directives.
- Help troubleshoot field issues and communicate solutions to the PM.
- Support daily reporting, production tracking, and photo documentation.
Financial & Cost Control Assistance
- Help maintain project budgets, cost codes, and financial logs.
- Assist in reviewing invoices, change orders, and pay applications.
- Track quantities, production rates, and cost exposures.
- Support the PM in forecasting and cost‑to‑complete updates.
Communication & Client Coordination
- Assist in preparing weekly progress reports and meeting agendas.
- Help maintain clear communication with clients, engineers, and inspectors.
- Document meeting minutes and follow‑up actions.
- Support relationship‑building efforts with clients and stakeholders.
Quality Control & Safety Support
- Assist in enforcing quality standards and verifying work meets specifications.
- Support safety initiatives, toolbox talks, and site audits.
- Track testing requirements (density, compaction, utilities, concrete, asphalt).
- Help document and resolve non‑conformance issues.
Project Closeout
- Assist with punchlist creation, tracking, and completion.
- Help compile as‑builts, warranties, O&M manuals, and closeout documents.
- Participate in post‑project reviews and lessons‑learned sessions.
Requirements:
- Bachelor’s degree in Construction Management, Civil Engineering, Building Science, or related field.
- 1–3 years of experience in civil construction, site development, or related project support roles (internships included).
- Strong understanding of construction processes, drawings, and specifications.
- Familiarity with scheduling, estimating, and project management principles.
- Proficiency in MS Office; experience with construction management software preferred.
- Strong communication, organization, and time‑management skills.
- Ability to multitask and support multiple active projects.
- Team‑oriented mindset with a desire to grow into a Project Manager role.
- Strong problem‑solving skills and willingness to learn in both office and field environments.
