Quality Systems Analyst

You will be joining a diverse team with a vibrant culture, where team success is as important as celebrating individual contributions Carbon is seeking a highly organized and a detail-oriented professional to fill the Quality Systems Analyst role. This role is pivotal in managing our company's quality systems (document and change control system, training systems, labeling systems, etc.) and coordinating internal training programs, ensuring efficiency and compliance across various functions. 

This role is located in Mexicali and requires being in office full-time: Monday through Friday. 

Requirements:

  • Strong and effective communication in English.
  • Must have the ability to handle multiple tasks simultaneously.
  • Excellent organizational and time management skills
  • Detail-oriented with a high degree of accuracy. 
  • Proven experience in a clerical or administrative role, preferably within quality assurance or training department.
  • Proficient in Adobe Acrobat, Adobe Illustrator, Microsoft Office Suite (Word, Excel, PowerPoint) and Google Suite (Mail, Calendar, Docs, Sheets, Slides, etc.).
  • Ability to adhere to and follow directions.
  • Ability to work independently as well as part of a team.

Responsibilities: 

  1. Training Administration:
    • Schedule trainings on production and quality system documents. Host training materials in the training system, such as documents, handouts, and visual aids
    • Send out training invitations, reminders, and follow-up communications.
    • Organize training sessions and workshops as needed.
    • Coordinate and manage logistical arrangements with trainers, facilitators, and external vendors to ensure smooth delivery of training programs.
    • Manage training calendars and communicate training schedules to employees.
    • Maintain training records and database, ensuring accuracy and compliance with company policies.
    • Collect and analyze feedback from training participants to continuously improve the training system.
  1. Document and Change Management
    • Maintain document control procedures, processes and training materials. 
    • Manage change control process - Perform review of proposed changes.
    • Coordinate and follow up with participants on change planning, collaboration, approval, and implementation. 
    • Maintain and update document control system - 
  2. Label Design
    • Understand Carbon’s existing label design standards.
    • Design product and shipping labels for new Carbon products.
    • Ability to collaborate with regulatory function and understand the impact of changes on label design standards. Update design standards, as necessary. 
    • Collaborate with suppliers and the Carbon team to implement labeling changes on Carbon products.
  3. Quality System
    • Manage CAPA system:
      1. Monitor CAPA metrics
      2. Manage CAPA monitoring boards
      3. Conduct CAPA board meetings. 
    • Perform periodic reviews and internal desk audits to ensure compliance with company policies. 
  4. Employee Engagement:
    • Serve as the primary point of contact for training-related inquiries from employees. 
    • Serve as secondary document control administrator for document and change control inquiries.
    • Provide training and support to new employees on training and document control procedures and systems. 
  5. Data Management and Reporting:
    • Monitor the health of the training program: Track and report training metrics and completion rates.
    • Generate regular reports on training activities and outcomes for management review.
    • Ensure compliance with all regulatory training requirements and maintain documentation for audits.
  6. Continuous Improvement:
    • Identify opportunities for improving quality system processes and IT systems.
    • Perform desk audits for quality system procedures and records.
    • Assist in the development and enhancement of training materials and resources.

Preference:

  • Background in manufacturing and quality preferred
  • Undergraduate (Bachelors) degree or equivalent; 
  • An understanding and certification in Quality Management System (ISO 9001 or equivalent) is preferable.
  • Experience in Quality System audits is a plus.
  • Ability to adjust working schedule to have maximum overlap with Pacific Standard Time
