Position Summary:
The Medical Records Specialist will be responsible for receiving electronic faxes, scanning documents, and uploading files into the electronic medical records system under the supervision of the Medical Records Manager. This role ensures appropriate data governance and follows best security and patient confidentiality practices.
Success Measures:
Success measures include adherence to Centria policies, flawless execution of tasks, and meeting or exceeding personal qualitative and quantitative key performance indicator (KPI) metrics.
Duties and Responsibilities:
- Coordinate the collection, processing, maintenance, storage, retrieval, and distribution of medical records according to established policies and procedures
- Process all release of information (ROI), specifically medical record requests, in a timely and efficient manner.
- Convert documents into structured data.
- Ensure privacy of client records according to HIPAA compliance, company procedures, and policies.
- Assist in resolving administrative/clerical errors involving documentation.
- Upload documentation to county websites.
- Review documentation for compliance with specific guidelines.
- Audit charts for accuracy and completeness.
- Compliance with Centria's Code of Conduct, policies and procedures, and Federal and State laws.
- Responsibility to report violations of Company policies or the Code of Conduct.
Pay Rate: $16-18 hourly
Qualifications:
Education/Licenses
Associate degree or equivalent work experience
Work Experience
- 2+ years of customer service experience, preferred
- 2+ years of document management experience, preferred
- Data entry experience, preferred
Equipment and Technology Requirements
- Basic computer skills
- Working knowledge of laptop/desktop PC
- Proficiency in Microsoft Suite
- Proficiency in G Suite

- Established track record of generating error-free work.
Working Conditions
- Centria's office hours are Monday through Friday from 8:30 AM – 6:00 PM.
- Additional time or occasional shifts in schedule may be required to complete the above work or meet company objectives.
Physical Demands
While performing the duties of this job, physical requirements such as bending, reaching, lifting, pushing, or pulling up to 30 pounds may be required. This role will require sitting most of the day as well as walking and standing periodically. This role may require close visual acuity on computer screens or monitors and the ability to analyze data and figures on a screen.
