PAYROLL SPECIALIST

POSITION OVERVIEW 

The Payroll Specialist supports accurate and timely end-to-end payroll processing for a complex, multi-state, and multi-location organization. This position partners closely with the Payroll Manager, Human Resources, Finance, and operational leaders to maintain payroll accuracy, resolve employee and system issues, support compliance, and continuously improve payroll processes and controls. 

 

KEY RESPONSIBILITIES 

  • Process accurate and timely weekly and biweekly payrolls for exempt and non-exempt employees across multiple locations and states. 
  • Process payroll inputs and adjustments, including new hires, terminations, transfers, compensation changes, overtime, bonuses, commissions, retroactive pay, deductions, and off-cycle payments. 
  • Review timekeeping records, payroll inputs, exception reports, and approvals; research and resolve discrepancies before payroll is finalized. 
  • Generate and reconcile payroll reports, including payroll summaries, labor distribution, labor costing, tax, deduction, and other operational or compliance reports. 
  • Maintain the timekeeping system, support accurate time entry and approvals, and provide training and guidance to managers and employees. 
  • Administer wage garnishments, child support orders, tax levies, and other legally required deductions in accordance with applicable requirements. 
  • Support federal, state, and local payroll tax setup, quarter-end and year-end activities, W-2 review, and related payroll compliance processes. 
  • Respond to employee payroll questions and resolve pay, deduction, withholding, and timekeeping concerns promptly and professionally. 
  • Maintain accurate payroll records, procedures, documentation, and internal controls while protecting confidential employee and compensation information. 
  • Support internal and external audits, including financial, tax, wage and hour, and other payroll-related reviews. 
  • Partner with Human Resources and Finance on acquisitions, integrations, system changes, organizational changes, and employee transitions that affect payroll. 
  • Identify and recommend improvements to payroll policies, procedures, systems, reporting, and controls. 
  • Prepare recurring new-hire, separation, and other workforce reports for HR and business leadership. 
  • Perform other payroll-related duties and projects as assigned by the Payroll Manager or HR leadership. 

 

EXPERIENCE & QUALIFICATIONS 

  • Minimum of four years of hands-on, end-to-end payroll processing experience required. 
  • Demonstrated experience processing multi-state payroll; experience supporting a multi-location workforce strongly preferred. 
  • Working knowledge of federal, state, and local payroll requirements, wage and hour laws, payroll taxes, deductions, and garnishments. 
  • Experience with payroll and HRIS platforms required; experience supporting payroll system implementation, conversion, or integration is preferred. 
  • Intermediate to advanced Microsoft Excel skills, including formulas, lookups, pivot tables, data analysis, and reconciliation. 
  • Experience in a manufacturing, distribution, construction, or similarly complex operating environment preferred. 
  • Fundamental Payroll Certification (FPC) or Certified Payroll Professional (CPP) designation preferred, but not required. 
  • High school diploma or equivalent required; associate or bachelor’s degree in Accounting, Finance, Human Resources, Business, or a related field preferred.

  • Clear, professional written and verbal communication skills and a strong employee-service orientation. 
  • Ability to collaborate effectively with employees, managers, Human Resources, Finance, and operational teams at all levels. 
  • Sound judgment, discretion, accountability, and the ability to work independently while escalating issues appropriately. 

 

WORK ENVIRONMENT & PHYSICAL REQUIREMENTS 

This role operates primarily in a professional office environment and routinely uses a computer, telephone, and other standard office equipment. The employee is frequently required to remain in a stationary position, communicate, and use a computer for extended periods. The employee must occasionally lift or move items weighing up to 10 pounds. POSITION TYPE & SCHEDULE 

This is a full-time position. Additional hours may be required during payroll processing, quarter-end, year-end, acquisitions, system implementations, or other periods of increased business activity.
