
Reporting Clerk
Coho Integrated Solutions is looking for a Clear and Legible Reporting Clerk (CLR Clerk) to track and account for all Military Treatment Facility (MTF) generated specialty care that are deferred to the network until closure IAW DHA IPM 18-001. The CLR Clerk is part of a centralized services center that serves as the primary point of contact for Puget Sound Military Health System (PSMHS) beneficiaries seeking healthcare. The position involves managing patient appointments, processing referrals, and ensuring accurate, legible documentation in the electronic health record (EHR)
Responsibilities (include but are not limited to):
- Track and account for all MTF generated specialty care that are deferred to the network until closure.
- Process all CLRs into the patient's permanent EHR within three working days of receipt, close the referral, and notify the referring provider and/or Primary Care Manager (PCM) that the CLR is awaiting their review.
- Track all STAT, Urgent, and Priority referrals.
- Initiate efforts to capture the CLR upon request by the referring provider or no later than 60 calendar days from the date the referral was ordered or as soon as a claim is discovered, whichever occurs first.
- Perform periodic monitoring of calls handled by the Appointing, Referral, and CLR agents to identify any customer service or training issues.
- Report up to management and stakeholders as required.
- Adhere to all rules and regulations including but not limited to HIPAA, TJC.
- Call center manages inbound and outbound calls from beneficiaries, validates beneficiary eligibility, schedules, cancels, and reschedules patient appointments in order to provide timely access to quality healthcare.
- Record each beneficiary call using the most current DHA and PSMHS policies.
- Processing appointment requests via Secure Messaging System, as well as outbound calls for patient care reminders, to include pre-appointment instructions and reminders (lab/radiology/fasting/pre-op surgery, etc.), drive-time mapping capabilities in support of specialty care appointing, as well as outbound letters to beneficiaries referred for MTF specialty care.
- Monitoring care delivered and ensuring the retrieval of health care records from the civilian provider and the delivery of those documents to the beneficiaries' medical record.
Qualifications:
- Education:
- High school diploma or General Educational Development (GED) equivalency
- Required Knowledge/Experience:
- Skilled in Word, Excel, Access, and other software programs
- Excellent communication, interpersonal and customer service skills
- Must be able to obtain clearance to access the work site located on a CSMHS military installation and be granted a Common Access Card (CAC).
- Must be able to clearly communicate, verbally and written with coworkers and clinic staff.
- Relevant military experience may be substituted for some requirements
- Preferred Knowledge/Experience:
- Healthcare administrative experience
- Training Requirements
- Technical training which will focus on systems architecture, mandatory system procedures, security requirements, and functional operating procedures to include patient appointing, referral management and clear and legible reporting
- Work Hours:
- PAS services are performed from 6:00 a.m. to 8:00 p.m. Monday through Friday and Saturday and Sunday from 7:00 a.m. to 5:00 p.m. excluding federal holidays
- All staff must have weekend availability as needed
Pay Rate: $22.98 per hour
