The Director of Operations role is pivotal to ST Law Office, PLLC's growth and mission. This role exists to optimize and oversee the operational efficiency across our sales, legal, marketing, and tech departments. By ingeniously structuring and executing firm-wide processes, this leader ensures the firm delivers outstanding service consistently. As the Director, you will not only strengthen our operational backbone but also enhance client satisfaction and support our transformational legal approach.
What you’ll do:
- Operations Management: Oversee and streamline all firm systems, including sales, legal, and marketing workflows, ensuring consistent performance and scalability.
- Lead Flow Oversight: Manage the flow of leads from initial contact through to client conversion, ensuring seamless processes.
- Workflow Optimization: Design and implement efficient workflows, optimize CRM systems, and oversee automations (e.g., Zapier), taking full ownership from build to ongoing improvement.
- KPI Monitoring: Develop and maintain dashboards to track performance metrics, actively enforcing KPIs and holding team members accountable.
- Team Leadership: Direct onboarding and training by building structured systems that set new hires up for success.
- Cross-Departmental Support: Collaborate with teams to identify operational bottlenecks and implement solutions.
- Technology Integration: Manage the firm's technology stack, improving systems and tools to maximize operational efficiency.
- Case Production Oversight: Ensure timely case progression and maintain consistent filing output, scaling capacity as the firm grows.
What we’re looking for:
- Educational Background: Bachelor’s degree required, preferably in business or a related field.
- Operational Expertise: Proven track record in legal or service-based operations, with a focus on building systems from the ground up, not just managing existing ones.
- Technical Skills: Proficiency with tools such as Zapier, Microsoft 365, and Docketwise; strong tech literacy is essential.
- Leadership Qualities: Strong leadership and accountability skills; able to enforce KPIs, address underperformance, and drive team results.
- Proactive Problem-Solving: Execution-focused with the ability to move quickly, pivot under pressure, and deliver results without getting stuck in over-analysis.
- Effective Communicator: Strong communicator who can translate vision into clear processes, documentation, and team execution.
- Accountability Focus: Ability to enforce KPIs and hold team members accountable, ensuring consistent performance outcomes.
