Program Support Specialist
Data Systems Analysts, Inc. is searching for a Program Support Specialist.
We are seeking a highly organized, motivated professional to support a fast-paced Program Management Office (PMO) within a defense contracting environment. This role is ideal for someone who aspires to become an IT or Technical Project Manager and understands that mastery starts with fundamentals.
This is not a passive admin role. You will be embedded with program leadership, exposed to real project execution, and trusted with meaningful responsibilities. You will work closely with the program and project leadership in a fast-paced environment to enable the ongoing success of the technical teams supporting major DOD/DOW initiatives.
Required Qualifications
- Minimum 4 years of professional work experience
- Strong organizational skills with meticulous attention to detail
- Ability to manage multiple priorities in a deadline-driven environment
- Professional written and verbal communication skills
- Ability to track and focus on tasks from inception to completion.
- Proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint)
- Comfort learning new tools (project trackers, collaboration platforms, HR systems)
- Ability to build and maintain trackers, schedules, and simple reports
- Bachelor’s Degree preferred but not required (experience and aptitude weighted higher)
Clearance Required
- Eligibility for Secret clearance (U.S. citizenship required)
Desired Qualifications
- PMP Certification
- Experience supporting a PMO, operations team, or leadership staff
- Exposure to government contracting or DoD environments
- Familiarity with project management concepts, tools, and methodologies
- Working knowledge of Microsoft Teams and Microsoft Project
- Experience coordinating schedules, tracking actions, and managing workflows
- Experience with issue tracking in Gitlab and Atlassian
- Active or prior TS/SCI clearance
Key Responsibilities
- Assist Program Managers with administrative aspects of project execution
- Maintain project documentation, trackers, schedules, and reporting artifacts
- Support task tracking, metrics collection, and basic project coordination activities
- Manage and coordinate leadership calendars, meetings, and travel
- Prepare meeting materials, track action items, and follow through to closure
- Support day-to-day administrative functions of multiple programs and projects
- Coordinate recruiting logistics including interviews, schedules, and candidate communications
- Support hiring actions, offer processing, and onboarding coordination
- Interface with HR, Security, and leadership to ensure smooth candidate transitions
- Manage onboarding and offboarding workflows (accounts, access, documentation, orientation, equipment)
- Track personnel training requirements (corporate, customer, compliance, security)
- Maintain training and certification records and ensure compliance with contract requirements
- Support office operations, supply management, and coordination with facilities or IT
- Document and improve processes for project teams and contract as a whole
- Act as a central coordination point between leadership, staff, and external stakeholders
