
Contracts Coordinator (Saudi National Only)

We are seeking a detail-oriented Contracts Specialist / Coordinator to support contract administration activities on large-scale data center, mission-critical, and infrastructure projects in KSA. The role will maintain contract records and registers, track obligations, notices, variations, claims, key dates, and payment-related documentation while coordinating closely with project, commercial, procurement, design, construction, planning, commissioning, and document control teams.
The successful candidate will work within Decima’s PMC team, supporting the day-to-day contractual administration of projects and helping ensure contractual requirements, deadlines, and records are accurately maintained and followed through.
RESPONSIBILITIES
- Support contract administration activities for consultant, contractor, subcontractor, and vendor agreements.
- Maintain accurate records of contracts, amendments, purchase orders, warranties, bonds, insurance certificates, and related contractual documentation.
- Maintain trackers for notices, variations, claims, change orders, approvals, contractual obligations, and outstanding actions.
- Review incoming correspondence and identify items requiring contractual or commercial follow-up.
- Assist in preparing contractual letters, notices, meeting minutes, and supporting documentation.
- Track contract deliverables, milestones, key dates, notice periods, expiry dates, and contractual deadlines.
- Monitor RFI and technical submittal turnaround against contractual timeframes.
- Support variation order and change request administration.
- Collect and organize supporting documentation for claims, extensions of time, and commercial assessments.
- Maintain contractual obligations registers throughout the project lifecycle and flag non-compliance to the Senior Contract Administrator or Contracts Manager.
- Maintain records of instructions, RFIs, design changes, delays, and site events with potential contractual impact.
- Support contractor payment application verification against payment schedules, bills of quantities, and approved progress in coordination with relevant project teams.
- Coordinate with project management, cost control, procurement, design, construction, planning, commissioning, and document control functions.
- Prepare meeting agendas, minutes, action trackers, and follow-up logs.
- Support long-lead equipment and delivery tracking, including OFCI and CFCI arrangements.
- Prepare regular contract status reports covering notices, variations, claims, approvals, contractual risks, and outstanding actions.
- Support final account preparation, contract close-out, warranties, retention reconciliation, and handover documentation.
- Maintain warranty and defects registers during the applicable defects liability period.
- Support the management of outstanding claims and contractual matters through project close-out.
- Ensure sensitive contractual and commercial information is handled confidentially.
- Perform other related contract administration duties as required.
QUALIFICATIONS
Required Qualifications
- Bachelor’s degree in Construction Management, Engineering, Law, or a related discipline.
- 3–5 years of experience in contract administration, contracts coordination, or commercial support on construction or infrastructure projects.
- Working knowledge of FIDIC and/or EPC lump-sum contract forms.
- Experience maintaining contract registers, notices, obligations, milestones, and deadline trackers.
- Experience supporting variations, change orders, claims, and extension-of-time documentation.
- Understanding of contractor payment applications, bills of quantities, and progress measurement.
- Experience preparing contractual correspondence, notices, reports, and meeting records.
- Good commercial and risk management awareness.
- Strong document and records management skills.
- Strong organizational skills with the ability to manage multiple contractual actions simultaneously.
- Strong communication and stakeholder coordination skills.
- Fluent written and spoken English, with the ability to draft clear and factual contractual correspondence.
- Advanced Microsoft Excel skills and proficiency in Word and PowerPoint.
- Willingness to work full-time onsite at project locations within KSA.
Preferred Qualifications
- Experience on data center, mission-critical, industrial, or major infrastructure projects.
- Experience within a PMC, consultant, or Owner’s Representative environment.
- Prior experience administering EPC lump-sum contracts.
- Strong working knowledge of a specific FIDIC contract edition.
- Experience supporting construction claims, variations, and extension-of-time assessments.
- Experience with final accounts, retention reconciliation, and contract close-out.
- Commercial or quantity surveying support experience.
- Exposure to long-lead equipment procurement and delivery tracking.
- Experience with OFCI / CFCI arrangements.
- Previous project experience in KSA.
- Experience supporting PIF-affiliated, government-linked, or hyperscale clients.
- Membership of, or progress toward, RICS, CIArb, CICES, or an equivalent professional body.
- Experience with electronic document management or project management information systems.
