JOB PURPOSE

We are looking for an Finance / Operational Excellence Lead to bring structure, streamline processes, and elevate our operational efficiency. From finance and IT to internal communications, you'll be the go-to person ensuring everything runs smoothly across our Hello Monday team.

KEY RESPONSIBILITIES

Finance management:

  • Manage expense approvals, chase and approve invoices (Netsuite, e-boks), and oversee our expense system (Expensify) with reviewing and answering questions.
  • Take the lead on forecasting and monthly reporting, helping project managers track their numbers and reviewing with management.
  • Help support and negotiate new non-client vendor and subscriptions contract/terms
  • Support employees who are on temporary leave with submission and tracking of reimbursements. 
  • POC for landlord, insurance and local authority. 

 Operational Excellence:

  • Take ownership of operational excellence reporting (utilisation / billability) and liaise with Benelux-Nordics and US capacity planning teams for resource planning.
  • Supplement global/regional minimum requirements/policies with appropriate local policies and process improvements
  • Collaborate with cross-functional teams to ensure smooth execution of day-to-day operations and that communication flows efficiently across departments.
  • In conjunction with Client Finance and Delivery team, manage and track time entries, ensuring accurate and timely time tracking against projects.
  • Use dashboards to check on “hygiene” of DEPTApps admin and enforce process.

IT Coordination:

  • Oversee licenses, credit cards, and receipts and ensure compliance with internal policies.

Cross-Team Connector:

  • Act as a central resource for data requests and internal operations across DEPT®. Help teams in CET time zones find the right contacts and information.

Communication & Engagement:

  • Support internal communications by coordinating town halls, IT updates, and operational announcements to keep all teams aligned.

WHAT WE ARE LOOKING FOR

  • You are highly organized and skilled at structuring workflows efficiently.
  • You have experience in FP&A, accounting and operational excellence.
  • You have excellent communication skills and the ability to work with multiple stakeholders.
  • You are willing to take initiative, work independently and take responsibility that helps you in leading projects from start to end.
  • You are tech-savvy, especially with Excel and Google Suite.
  • You are a proactive problem solver who enjoys connecting teams and streamlining processes.
  • You are comfortable working with finance and IT tools (Expensify, Pleo, Okta preferred).
  • You are fluent in English—a must for effective communication.
