JOB PURPOSE
We are looking for a new colleague to join our growing People team in Zagreb.
As part of DEPT®'s People Operations team, you'll play a vital role in supporting our people-focused mission. In this role, you'll be the backbone of our people operations, handling a dynamic mix of HR administration, finance operations, and office management tasks. You'll work closely with our People Team leadership and collaborate internationally with colleagues across DEPT®. Within DEPT®, there is plenty of room for new ideas, problem-solving creativity, and taking initiative!
KEY RESPONSIBILITIES
- Handle HR administration and documentation, including full employee lifecycle management (onboarding, offboarding, check-in/check-out processes). Manage employee database updates, send employment contracts, and coordinate onboarding logistics.
- Manage payroll operations and benefits administration, working closely with external accounting services.
- Prepare and maintain contracts, agreements, and employee documentation, by ensuring tax-compliance documentation is properly maintained and verified.
- Serve as the local office coordinator, maintaining a functional workspace through office maintenance coordination, supply procurement, equipment management, and liaison with external vendors.
- Support finance operations by serving as a liaison between the Zagreb and Split office and our finance team, handling day-to-day communication regarding invoices, costs, and overhead management.
- Work as a trusted operational partner to the People team, providing reliable support for both HR and finance-related tasks that keep the organization running smoothly.
- Own HR system data management, including employee profile creation and updates, asset tracking, benefits management, request approvals, documentation uploads.
- Support handbook and compliance, maintaining local policies and labor law documentation; provide operational support for company events, logistics, and internal ticket resolution.
WHAT WE ARE LOOKING FOR
- Experience in HR operations, finance/payroll administration, or a combination of both.
- Strong attention to detail, especially when handling contracts, invoices, and financial documentation. This is critical to your success in this position.
- Excellent communication skills in both Croatian and English, with the ability to interact professionally with colleagues, external partners, and accounting services.
- Energy, positivity, and a collaborative mindset - you're comfortable wearing multiple hats and tackling diverse tasks, from HR administration to office management to finance coordination, without ego concerns.
- Problem-solving capabilities and flexibility to adapt to changing priorities. Some days you'll handle routine tasks like payroll processing; other days you might need to solve unexpected office issues quickly.
- Comfortable with office-based work. This role requires your presence in the Zagreb office at least 3 days per week. You'll be part of the day-to-day operations and a reliable point of contact for the team.
- Familiarity with tools like the Microsoft Office. Experience with HR management systems like BambooHR is a plus, but we'll train you on our specific platforms.
- Initiative and self-motivation to manage a dynamic mix of responsibilities.
