JOB PURPOSE

We are looking for a highly organized and proactive Executive Assistant to support senior leadership.

As part of DEPT®’s leadership support structure, you’ll play a critical role in ensuring the smooth operation of executive workflows and day-to-day business activities. In this role, you’ll act as a trusted partner to senior leaders, managing complex scheduling, communication, and administrative coordination. You’ll collaborate closely with internal teams and international colleagues across DEPT®. 

KEY RESPONSIBILITIES

  • Provide high-level administrative support to senior executives, including complex calendar management, meeting coordination, and agenda preparation.
  • Serve as a key point of contact between executives and internal/external stakeholders, ensuring timely and professional communication.
  • Organize and manage travel arrangements, including flights, accommodations, visas, and detailed itineraries.
  • Coordinate leadership meetings, board-related activities, and executive off-sites, including logistics and follow-ups.
  • Handle sensitive and confidential information with the highest level of discretion and professionalism.
  • Support cross-functional collaboration by tracking action items, following up on priorities, and ensuring deadlines are met.
  • Assist with office coordination and event support for leadership-related initiatives.
  • Continuously improve administrative processes to increase executive efficiency and team effectiveness.

WHAT WE ARE LOOKING FOR

  • 3-5 years experience as an Executive Assistant, Personal Assistant, or in a similar senior administrative role
  • Exceptional organizational and time-management skills, with the ability to handle multiple priorities in a fast-paced environment
  • Strong attention to detail and a high level of accuracy in all administrative and communication tasks
  • Excellent communication skills in English with confidence in working with senior stakeholders
  • A proactive, service-oriented mindset with the ability to anticipate needs and solve problems independently
  • High level of discretion, integrity, and professionalism when handling sensitive information
  • Strong proficiency in Google Suite and other apps (Google Calendar, Google Docs, Google Drive, Google Slides, Google Sheets, Slack)
  • Flexible, adaptable, and resilient when priorities change at short notice
