Director, Client Operations

WHAT ARE WE LOOKING FOR
Momentum is looking for a Director of Client Operations to join our team supporting a major Communications company and a growing portfolio of Clients. We’re looking for a detail-oriented and process driven individual to elevate our operational ability to drive efficiency, agility, profitability and quality of work. You will be essential to the continued success of the client/agency partnership at large.
HERE’S WHAT YOU’LL DO (RESPONSIBILITIES)
- Partners with the Operations and Account/Discipline leads to drive executional and operational excellence across the account
- Partners with Project Management teams, Resource Management, Finance and Account Leads to implement and oversee the following key operational work streams:
- Scope Tracking/Utilization/Burn Reporting
- Program Budget Reporting
- Heat Mapping – Anticipating workloads and scheduling resources ahead of time
- Support and help drive the creation and maintenance of onboarding processes and documents for new employees
- Partners with Account Lead, workstream leads, Discipline leads, Operations and Finance to ensure necessary inputs are provided to develop annual Scope of Work/Retainer in conjunction with Client procurement and Client leads
- Evaluates and challenges existing workflow processes, making recommendations for further improvements and driving implementation
- Identify opportunities to develop new systems and tools to ease workflow challenges
- Works closely with the Project Management and Account team to successfully shepherd projects across the Momentum system, finding the most efficient path to completion while meticulously tracking costs ensuring: accurate time reporting, proper fee application, appropriate resource assignments, accurate project projections and the ability to speak to project variances.
- Oversees inventory audit processes, brand compliance process, ways of working with the IAT, operational work streams that stem from Client procurement and supports on financial audit processes as necessary, led by Finance
- Cultivates and supports an environment that facilitates mutual respect and partnership across functions; quality thinking; appropriate risk taking; strong internal communications; regular performance feedback and adherence to agency policy
- Supports agency culture through leadership integrity and transparent, professional communication
- Creates a work environment which is conducive to improved operating efficiencies

- Participates in all key team meetings
- Attends a variety of event activations throughout the year to see the work we do come to life
- All other duties as assigned
HERE’S WHAT WE’RE LOOKING FOR (QUALIFICATIONS & REQUIREMENTS)
- Bachelors Degree required, preferably in Marketing
- 8+ years experience within marketing or an operations focused role
- Agency experience strongly desired
- Exceptional relationship and influencing skills
- Passion and solution orientated approach to problem solving
- Exceptional verbal & written communication skills and adept at communicating effectively across all levels
- Proven record of solving tough operational challenges to increase efficiencies, drive cost savings and deliver high quality product
- Leader and partner of people across disciplines with an ability to exercise both influence and directive as the situation requires
- Highly developed presentation and delivery skills
- Ability to perform well in fast changing environments.
- Exceptional client management skills
- Demonstrated success in leading multi-disciplinary teams in delivering exceptional work within budget parameters
- A passion to help and develop people – making yourself readily available to answer questions and offer support, and the ability to motivate people to succeed
- Demonstrated leadership and mentorship skills
