What you will do:
This role will implement a new document management system and serve as the single point of contact for receiving document transmittals and will also assist other departments in storing finalized documents in the document management system. This position reports functionally to the VP of Projects and will handle specific tasks assigned.
Key Responsibilities:
- The successful candidate will be responsible for:
- Liaise with an EDMS vendor and implementation of new EDMS for document management.
- Develop and implement a document numbering procedure.
- Develop and implement a document transmittal procedure.
- Develop Information Management documentation for company and contractor use.
- Liaise with internal and external parties to receive and store documents in the EDMS system.
- Transfer all legacy documents to the new EDMS system by liaising with various departments/functions.
- Develop a document distribution and review matrix (DDRM) in coordination with the Project Engineer and implement it on the project(s).
- Implement a Bluebeam for document reviews.
- Create and manage Bluebeam session, consolidate comments and transmit to the third parties.
- Develop and manage a document register by liaising with vendors and contractors.
- Train project teams on EDMS and document control processes.
- Assist external parties with correct usage of document control process.
- This position requires a strong commitment to workplace safety. The ideal candidate will demonstrate a consistent focus on safe practices, risk mitigation, and adherence to company safety standards as part of their day-to-day responsibilities.
- Perform deliverable reporting and project close-out activity.
What we need you to bring to the team:
- Bachelor’s degree and 8+ years of industry experience document management or in a related field; internships and academic projects excluded
- Experience of implementing EDMS system.
- Experience in the use and management of various EDMSs, SharePoint, Bluebeam systems.
- Experience working on the EPC and operator (client) side
- Experience in managing a full project life cycle, pre-FEED to project turnover.
- Performed documentation migration efforts
- Experience in collaborating with project team members, contractor personnel, EDMS Support
- Excellent communication skills.
- Strong analytical and problem-solving skills.

Compensation:
- The anticipated starting pay range for this position is $135,000-$145,000 a year and may be more or less depending upon skills, experience, and education.
