Senior Executive Administrative Assistant (Req#1088)
Overview
As a Senior Executive Administrative Assistant you will support the senior management team by performing administrative and project-related tasks, managing daily office activities and improving efficiency and effectiveness of ePlus’ senior leaders.
Your Impact
The essential functions of this position include:
- Assist with managing the board and committee meetings and the associated production or submission of materials from the CFO, CIO and others within the organization.
- Support investor relations efforts as follows:
- Coordinate schedules with the outside IR consultants, covering analysts, and investors.
- Coordinate preparation of investor-related materials and the distribution thereof.
- Oversee the coordination of investor conferences and roadshows.
- Create and maintain an investor relations database.
- Administrative support for CFO and CIO to include:
- Phone, mail, email and filing support
- Maintaining short-term and long-term calendars and schedules
- Preparing travel arrangements.
- Preparation of various corporate reports and presentations using desktop publishing, collaboration, spreadsheet, presentation and word processing software, as well as applicable graphics package
- Proofreading of corporate documents as required
- Plan and coordinate both onsite and offsite corporate meetings, conferences, and events including venues, facilities, contracts, catering and coordination of travel for attendees
- Prepare and submit executives’ expense reports in Concur
- Project manage multiple projects
- Attend and record minutes at certain meetings.
- Processing of invoices (as needed) on behalf of CFO and CIO; interface with Accounting to ensure proper processing
- Support for CFO and Finance / Accounting Department in conjunction with quarterly/annual financial closing processes
- Interface with Legal and internal Compliance Departments in support of quarterly/annual Enterprise Risk Management and regulatory processes
- Assist with support of other executives when other executive assistants are out of the office including, but not limited to, office of the CEO and COO
- Support Mergers & Acquisitions processes as required
- Interact with other departments to obtain information and process requests
- Other duties as assigned/required
Qualifications
Basic Qualifications
- At least two years of college with at least 10 years of experience in the Administrative Assistant field.
- Use prior experience and judgment to plan and prioritize tasks and support executives in achieving organizational goals.
- Must be detail oriented
- Ability to critically think, analyze and interpret documents and data
- Excellent verbal communication and writing skills, including strengths in grammar, detailed documentation, note taking and active listening
- Service-focused and results-oriented attitude.
- Organizational, prioritization, time management and collaboration/teamwork skills
- Ability to build relationships and partner with business stakeholders
- Able to anticipate needs (and contribute to content development) for future meetings and presentations based on outcomes of prior meetings, presentations, and/or emerging circumstances
- Must possess program management skills for multiple ongoing projects
- Knowledge of general office equipment and functions
- High degree of proficiency in MS Office 365 – Outlook, PowerPoint, Word, Excel, Visio (Org. Charts), OneNote, and OneDrive. MS Sharepoint a plus.
- Willingness to perform keyboard intensive work 80% of the time.
- Multi-task oriented/strong organizational skills in a very fast-paced environment
- Able to conduct business in a professional, competent and ethical manner
- Able to handle confidential matters and information in a professional manner
Preferred Qualifications
- Executive Assistant experience in a publicly held company
- Technology industry and Legal assistant experience
- Comfortable interfacing with all levels of Executive Management; experience interfacing with Board of Directors
- Knowledge of accounting, information technology, and audit terms
Position Specifics
The initial base salary range for this position is expected to be between $38.46 and $45.67 hourly. The final base salary offered will be determined by multiple factors, including, but not limited to, job-related knowledge, depth of experience, skills, certifications, and geographic location. In addition to base salary, our compensation package may include other components such as commissions and discretionary bonuses.
