Executive Assistant to the CEO

Your Role
As an Executive Assistant supporting the CEO and other members of the Executive Leadership team with Evergreen Nephrology, you are responsible for supporting executives, managing the Nashville office and managing key internal communications.
The Executive Assistant to the CEO is a trusted partner and operational backbone for the CEO, ensuring priorities are executed efficiently, relationships are nurtured, and the organization’s leadership is supported in achieving its goals. This role goes beyond calendar management, it requires strong organizational skills, attention to detail, and the ability to anticipate needs in a fast-paced, high-growth environment. In addition to supporting the CEO, this role will also provide support to other executive leadership members as needed.
This will be a hybrid position with some time spent in the Nashville, TN office. Typically, the role will need to be in the Nashville office a portion of 2-3 days per week. When there are larger meetings which occur monthly, the role will need to be in the office for full days.
Role Responsibilities
This role's primary duties include the following:
Executive Support:
- Manage the CEO’s calendar including scheduling internal and external meetings and arranging travel (and other supported executives, which will commonly include up to two additional leaders).
- Organize materials for meetings including agendas and presentation materials.
- Manage confidential information with discretion and professionalism.
- Coordinate meetings and logistics for Board and investor meetings.
Office Management
- Manage relationship with property management to ensure a clean, safe environment for staff.
- Maintain office supplies and equipment.
- Support planning and coordination for company-wide meetings and events.
- Manage schedule with other members of the team to ensure mail and shipments are received and distributed in a timely manner.
Communications
- Support CEO’s communications with internal stakeholders as needed.
- Coordinate cross-functional initiatives.
- Represent the CEO and company in a professional manner, consistent with the approaches preferred by the CEO.
- Other duties consistent with this role, as assigned.
Required Qualifications
- High School diploma or GED required; Bachelor’s Degree preferred
- 5+ years of experience as an Executive Assistant
- Detailed-oriented
- Able to process complex information and determine how it impacts executive’s schedules and priorities
- Able to prioritize conflicting needs; handle matters expeditiously and follow through on projects to successful completion, often with a short deadline
- Experience putting processes in place (i.e. Helping create employee handbooks, manuals, scheduling, answering phones, booking events and travel, etc.)
- Exceptional communicator (written and verbal)
- Proficient in Microsoft Office (Outlook, Word, Excel, and PowerPoint), and have excellent typing skills
- Strong organizational and time management skills with the ability to manage multiple tasks and meet deadlines in a fast-paced environment
- Ability to handle confidential information with discretion
- Strong interpersonal skills and the ability to build relationships with key stakeholders
- Demonstrated ability to achieve high-performance goals
- Forward-looking thinker, who actively seeks opportunities to contribute
- Proactive problem-solver, with strong decision-making capability
- Highly resourceful team player, with the ability to also be extremely effective independently
- Able to work effectively when working remotely:
- Home internet must support a minimum download speed of 25 Mbps and upload speed of 10 Mbps. Cable, Fiber, or DSL connections hardwired to the internet device are recommended
- Evergreen will provide remote employees with telephony applications and equipment to meet the business requirements for their role
- Employees must work from a dedicated space lacking ongoing interruptions to protect member PHI / HIPAA information
