Senior Executive Assistant to the CEO

About the role
We are seeking a highly organized and detail-oriented Executive Assistant to support our CEO and Senior Chief of Staff in optimizing efficiency and ensuring seamless day-to-day operations. This role is integral to managing administrative functions, coordinating key meetings, and facilitating communication across the organization. You will work closely with the CEO and Senior Chief of Staff to provide high-level executive support, manage scheduling and logistics, and support top company strategic priorities.

What you’ll do
- Maximize the CEO’s productivity by managing a complex calendar, prioritizing meetings, and conducting regular audits to ensure time is allocated effectively
- Prepare and coordinate key materials for executive meetings, including agendas, board decks, and leadership updates, while maintaining meticulous documentation and record-keeping systems
- Serve as a strategic partner by supporting business operations, consolidating inputs for business reviews, and coordinating key leadership communications in collaboration with the Senior Chief of Staff
- Provide coordination and execution support on high-impact projects on behalf of the CEO and Senior Chief of Staff, ranging from strategic initiatives to special cross-functional efforts
- Liaise with key stakeholders across the company and externally to facilitate seamless communication, follow-ups, and execution of priorities
- Work closely with the Office Manager to ensure VIP meetings, office events, and executive engagements run smoothly and are flawlessly executed
Key qualifications
- 5+ years of experience supporting senior executives in a fast-paced environment, with exposure to strategic operations or business management
- Extremely high attention to detail
- Exceptional organizational and project management skills, with the ability to drive initiatives from inception to completion independently
- Strong business acumen and the ability to synthesize information, identify priorities, and provide strategic insights
- High degree of responsiveness and proactivity, with the flexibility to address urgent matters during less traditional hours
- Superb written and verbal communication skills, with an ability to engage effectively with internal and external stakeholders at all levels
- Proficiency in Microsoft Office and Google Suite, and comfortable working with data and business metrics
- Based in NYC (or willing to relocate), with the ability to be in the office 4+ days a week
The compensation range for this role will be commensurate with the candidate's experience and Flex's internal leveling guidelines and benchmarks. For working locations in NY/NJ, the base salary pay range will be $104,000-115,000
