$55,000 to $75,000

What will you be doing?
Grants Infrastructure & Administrative Support
- Research and prospect new public funding opportunities aligned with workforce development and transition programming
- Prepare and maintain administrative templates for grant applications, renewals, and reporting
- Track grant deadlines and coordinate cross-departmental input for timely submissions
- Collaborate with the Business Office to reconcile school-based grants and prepare documentation for audits
Compliance & Systems Development
- Design and manage intake, referral, and eligibility documentation systems in alignment with public funding requirements (e.g., NJDVRS, WIOA, Pre-ETS)
- Develop and maintain SOPs, documentation templates, and workflows for grant-funded activities
- Coordinate with the Business Office on invoicing, billing processes, and expense tracking
Program Operations & Departmental Coordination
- Maintain real-time data tracking systems for scholar participation and grant-specific deliverables
- Support internal staff in meeting documentation requirements
- Partner with Special Education and Academic teams to ensure documentation supports (but does not duplicate) IEP transition goals
Quality Assurance & Reporting
- Conduct internal reviews of documentation, billing logs, and records for compliance and audit readiness
- Support development of internal dashboards and performance reports
- Ensure infrastructure is adaptable to new funding streams and grant pilots
How will we define success?
- Ensure Grant Compliance: 100% documentation compliance with no major audit findings or returned funds
- Operationalize Billing: 95% on-time invoice submission to funders
- Streamline Program Infrastructure: 30% reduction in referral-to-enrollment processing time
- Improve Data Accuracy: 90%+ accuracy in internal dashboards used for reporting
- Enable Seamless Execution: 20% reduction in administrative burden for staff through improved systems
What do we require from you?
- Bachelor’s degree required; background in public administration, compliance, education, or nonprofit operations preferred
- 3+ years of experience in compliance, grants operations, or workforce program support
- Familiarity with public funding programs (e.g., NJDVRS, WIOA, Pre-ETS)
- Demonstrated success building infrastructure for documentation, billing, and reporting
- Strong organizational, project management, and communication skills
- Experience working across departments and managing collaborative workflows
- Proficiency with data systems, spreadsheets, and audit tools
- Hired candidates are responsible for the following: official transcripts, criminal clearance (fingerprinting), and medical clearance (TB/Mantoux testing).
