What You Will Be Doing:
We're looking for a proactive, resourceful, and detail-oriented Senior Legal Operations Specialist to join our legal team. This is an excellent opportunity for someone who takes initiative and ownership of their work, adapts quickly, and wants to grow their legal skillset while building structure around complex legal operations. You'll partner closely with our Senior Counsel and Senior Contract & Corporate Specialist to support a range of legal and contract-related needs. In this role, you'll help streamline processes, solve problems in real-time, and serve as a key resource for business teams navigating contracts, legal guidance, and internal policies. You'll also manage and improve legal operations—from maintaining accurate legal entity and equity records to owning documentation systems and supporting the full contract lifecycle.
In addition, you'll help operationalize legal workflows, coordinate signatures and internal reviews, and ensure legal guidance is current, accessible, and actionable. You'll play a critical role in keeping legal priorities moving efficiently across the business. This is an onsite role at our Everett, WA headquarters, reporting directly to Helion's Senior Advisor.
You Will:
- Coordinate Legal Operations function, including managing Legal Team email inbox and point of contact for general inquiries
- Maintain legal team's document repositories, filling systems, and naming conventions
- Support litigation holds, document preservation, and record collection processes
- Work with the Senior Contract Specialist to manage complete contract lifecycle across internal teams using Ironclad (e.g., document setup, metadata tagging, status tracking)
- Serve as point of contact for basic legal templates and contrate intake requests
- Assist with process improvements, knowledge management, and cross-functional coordination
- Manage equity grant processing and cap table updates in Carta
- Coordinate board consents and stakeholder communication
- Maintain minute books, corporate records, and state and local entity filings
Required Skills:
- Bachelor's degree in related field, Associate's degree in paralegal studies, or equivalent experience
- 10+ years of experience managing legal operations or commercial/corporate paralegal responsibilities
- Experience with contract lifecycle management (CLM) software (e.g. Ironclad, Juro, DocuSign, etc.) is a plus, including AI functionality
- Proficient in Microsoft Office Suite, with the ability to create clear, effective documentation and manage complex information
- Proven ability to take ownership of high-impact processes or projects—driving them from initiation through execution

Helion's compensation package includes a competitively benchmarked base salary, meaningful equity grants, and comprehensive benefits. Final compensation is determined through a holistic evaluation of your experience, qualifications, and our commitment to internal equity - ensuring fairness and transparency across our teams. We are committed to fostering a fair and equitable environment in every aspect of our operations, including compensation.
This is an exempt salaried role.
Annual Base Pay
$114,000 - $140,000 USD
