As our Workplace Experience Manager, you will play a crucial role in ensuring our office is a welcoming and efficient environment for our team to succeed.
The Workplace Experience Manager is responsible for overseeing the day-to-day operations of our office, enhancing the employee experience, and maintaining a safe, productive, and engaging workplace. This role combines facilities management, employee engagement, and operational efficiency to create an environment that reflects our company culture and values. Ability to work 3 days per week in our Cambridge location and additional in-person days as required.
Responsibilities
Facilities and Operations:
- Ensure the office is clean, functional, and well-maintained.
- Manage vendor relationships for cleaning, maintenance, and other essential services.
- Oversee inventory and procurement of food, office supplies, furniture, and equipment.
Employee Experience:
- Foster a positive workplace culture through employee engagement initiatives.
- Organize and oversee events and celebrations.
- Act as the primary point of contact for employees in terms of office-related needs.
Travel Coordination:
- Assist with travel plans for large group functions and international employees visiting the Cambridge office.
- Negotiate rates with local hotels and other travel vendors to secure the best options.
- Ensure a seamless travel experience by providing support and guidance.
Space and Layout Management:
- Optimize office layouts to enhance collaboration and productivity.
- Coordinate office moves, renovations, and space upgrades.
- Partner with teams to ensure workspaces align with evolving needs.
Health, Safety, and Compliance:
- Develop and implement workplace safety and emergency response plans.
- Ensure compliance with health, safety, and accessibility regulations.
- Conduct regular inspections and address safety concerns promptly.
Sustainability and Innovation:
- Implement environmentally friendly initiatives, such as recycling programs.
- Explore and integrate workplace technologies to improve operations and the employee experience.
Confidentiality and Discretion:
- Handle sensitive information with the utmost discretion and professionalism.
- Ensure confidentiality in matters related to employee data, vendor contracts, and other private information.
Skills and Qualifications
- Able to work 3 days per week in our Cambridge location and additional in-person days as required.
- 3+ years of experience in office management, facilities management, or a similar role.
- Bachelor’s degree in Business Administration, Facilities Management, or a related field.
- Excellent organizational, project and budget management skills.
- Strong interpersonal and communication abilities.
- Effective vendor negotiation experience.
- Proficiency with Slack, Gmail, Google Sheets, Google Drive, Google Docs and facilities management tools and software..
- Knowledge of building systems (HVAC, IT infrastructure) is a plus.
- Able to work in the US without sponsorship.
