What you'll do:
The Business Affairs Intern supports the day-to-day operations of the Business Affairs team by managing contract-related processes, coordinating internal reviews, and maintaining accurate documentation. This role works closely with cross-functional teams—including Sales, Legal, Finance, and Compliance—to ensure timely execution and tracking of standard agreements, letters, and supporting materials. In addition to administrative support and contract coordination, the Intern contributes to continuous improvement initiatives and helps maintain tools and resources that enable efficient contract management. They are tech savvy and leverage various AI tools available at Geotab to perform their tasks.

How you'll make an impact:
- Leverage Geotab AI tools to draft a variety of non-complex letters, notices, and other documents including process documents.
- Coordinate process of standard agreements and letters from initial request (e.g. engage internal stakeholders) to execution (e.g. engage the BA Specialist or Manager to send the DocuSign), archiving (e.g. Spotdraft, Google Drive) and updating trackers.
- Perform administrative tasks within the Business Affairs team such as supporting contract negotiations by tracking non-standard contractual terms, updating trackers, Salesforce, Spotdraft (contract management platform) and any reports that may be needed.
- Engage internal stakeholders (Finance, Compliance, Accounts Receivable, Legal, etc., for example), for contract reviews and approvals, following up with them on deliverables.
- Collaborate with the Legal department for contractual support.
- Perform other administrative tasks within the Business Affairs team such as coordinating elements of different meetings by scheduling, drafting meeting minutes (meetings with third parties).
- Support in the coordination of ongoing best practices and continuous improvement initiatives for the department.
- Assist the team with the training and onboarding of new hires.
- Produce reports, as needed, from different systems.
- Maintain an organized system of physical and digital records.
- Creating and maintaining contract management-related resources.
What you'll bring to the role:
- Equivalent combination of education and/or work experience in related field may be substituted
- Administrative & Contractual Expertise: Proven foundation in administration, legal support, or contract management, with a strong aptitude for mastering the full contract lifecycle and drafting high-quality documentation.
- Precision & Analytical Rigor: Meticulous attention to detail with a high degree of accuracy in spotting errors, supported by strong analytical skills to navigate complex organizational data and processes.
- Operational Agility & Organization: Highly organized and able to manage multiple projects simultaneously in a fast-paced environment, consistently meeting deadlines through proactive task management.
- Cross-Functional Collaboration: A versatile team player capable of engaging effectively with all seniority levels—from staff to external partners—while maintaining the autonomy to work independently in a flat organization.
- Technical Proficiency & Innovation: Digitally fluent with experience in Google Suite, Salesforce, Spotdraft, and JIRA, combined with an entrepreneurial mindset and a desire to leverage new technologies like Gemini to drive efficiency.
How we work:
This role offers an hourly pay range which is anticipated to be the range listed below. The actual pay for this position depends on a variety of factors such as but not limited to student's academic program, relevant experience, and location. Geotab is committed to fair and equitable compensation and will share final details as part of the offer process. All offers of employment are contingent upon proof of eligibility to work for the duration of the internship and the individual's ability to pass a background check.
