Job Title: Payroll Assistant

 

Summary:

The Payroll Assistant at IPG's Financial Shared Services Centre in Spain will play a crucial role in managing payroll services for IPG’s Spanish agencies. This role involves ensuring accurate and timely payroll processing, providing technical assistance, and participating in the implementation of new companies into the payroll system.

 

Responsibilities:

  • Process payrolls for IPG Spain agencies in compliance with local regulations and IPG standards.
  • Ensure accurate and timely delivery of payroll data to external providers.
  • Document payroll processes using the ADP CRM tool and handle CRM Ticket explanations when necessary.
  • Ensure accurate payroll payments to employees using the ADP GFF automated tool.
  • Address customer service issues from agencies and employees.
  • Maintain and archive records to meet audit and statutory requirements.
  • Ensure confidentiality and compliance with employment law and industrial relations requirements.
  • Contribute to the implementation of payroll and HRIS technologies.
  • Participate in audit processes and ensure compliance with IPG policy and Sarbanes-Oxley.
  • Propose process improvements and contribute to month-end closing responsibilities.
  • Enhance the Spain SSC’s reputation for excellent customer service.
  • Maintain good relationships with other SSC teams and ensure service delivery in line with Service Level Agreements.

Required Skills:

  • 3 years of experience in a payroll processing role.
  • Experience with payroll software, specifically ADP, and external payroll providers.
  • Good knowledge of payroll best practices and relevant legislation.
  • Experience in a large media/advertising industry and shared service center is an advantage.
  • Strong communication, customer service, problem-solving, and organizational skills.
  • Competence in using integrated ERP software like SAP and Microsoft Office tools.
  • Ability to work independently and prioritize tasks effectively.
