Senior Coordinator, People Ops

As the Senior Coordinator, People Operations, you will report to the Lead People Business Partner.  In this role, you will play a key part in ensuring the smooth operation of our People Ops functions, supporting employees, managers, and the broader People team. You will be responsible for handling day-to-day people operations activities, while also contributing to process improvements and employee engagement initiatives. The ideal candidate is detail-oriented, well-organized, performance driven, adaptable individual passionate about providing an exceptional employee experience.

What you'll be doing:

  • HR Operations:
    • Manage employee onboarding processes, ensuring a seamless experience.
    • Maintain and update HR systems, ensuring accuracy of employee data, records, and reporting.
    • Monitor HR email inbox, serving as the first response to candidate inquiries / and sending follow-ups when needed.
  • Compliance & Policy Support:
    • Assist in ensuring compliance with local, state, and federal labor laws, as well as company policies.
    • Support the rollout and tracking of mandatory training programs and policy acknowledgments.
    • Participate in the development and communication of People Ops policies and procedures.
  • Process Improvement & Project Support:
    • Coordinate benefits administration, including enrollment, changes, and employee inquiries.
    • Support the performance management process by setting up, tracking, and providing system assistance throughout the review cycles.
    • Assist in People Ops projects such as HRIS system enhancements, employee lifecycle automation, and data reporting improvements.
    • Collaborate with cross-functional teams to drive organizational goals and ensure alignment with People Ops initiatives.
    • Contribute to the continuous improvement of People Ops processes and programs, identifying opportunities to increase efficiency and employee satisfaction.
  • Employee Engagement & Communication:
    • Serve as a point of contact for employee inquiries via PeopleTeam Mailbox, providing timely support and ensuring positive interactions.
    • Lead and assist in coordinating company-wide initiatives, including employee engagement surveys, recognition programs, and wellness activities.
    • Help plan and execute internal communications related to People Ops policies and events.
  • Office Management:
    • Oversee daily office operations, ensuring a smooth and efficient work environment, including managing office supplies, equipment, and facility needs.
    • Coordinate and support company events and meetings, including scheduling, catering, and logistical arrangements to foster a positive and productive workplace culture.
    • Serve as the point of contact for vendors and service providers, handling contract negotiations, office maintenance, and external communications.
    • Manage administrative support tasks, such as handling mail, coordinating travel arrangements, and assisting with onboarding new employees.
  • Other duties as assigned

Required skills:

  • A minimum of 3 years of experience in People Operations, HR, or a related field.
  • Familiarity with benefits administration and compliance practices.
  • Strong organizational and multitasking abilities with a keen eye for detail.
  • Excellent verbal and written communication skills.
  • Ability to work collaboratively across teams and with all levels of the organization.
  • Ability to handle confidential information with discretion.
  • Proactive problem solver with a customer service mindset.
  • Ability to manage competing priorities in a fast-paced environment.
  • Enthusiastic about creating a positive employee experience.
  • Ability and willingness to commute into the Cambridge, MA office at least 2 days per week

Preferred skills:

  • Experience with HRIS systems (e.g. BambooHR, ADP, Lattice).
