Sr. Associate, Safety and Security:

The Safety & Security Senior Associate will play a crucial role in supporting the smooth and efficient operation of the Safety & Security functional area for the LA28 Organizing Committee for the Olympic and Paralympic Games. This role will provide high-level administrative support to the Safety & Security team by facilitating communications, coordinating schedules, and managing daily operations while contributing to the overall success of the LA28 Games. The ideal candidate is a proactive, organized, and detail-oriented individual with strong communication skillsThe candidate should possess the ability to be a fast learner, critical thinker, and positive-minded problem-solver when encountering new or unfamiliar challenges while coordinating the daily operations of the Safety & Security teamThis position reports to the Sr. Director for Physical Security, Risk and Business Management but also supports the department head (SVP, Safety & Security) and other team members across the department.

Key Responsibilities:

  • Executive Support: Provide comprehensive administrative support to executives, including calendar management, meeting coordination, travel arrangements, and expense reporting. 
  • Scheduling & Coordination: Manage schedules and organize internal and external meetings, conference calls, and events, ensuring that all logistics are planned and executed seamlessly. 
  • Communication & Liaison: Serve as a point of contact for internal and external stakeholders, maintaining professionalism in all communications. Respond to emails, phone calls, and inquiries on behalf of executives as needed. 
  • Documentation & Reporting: Prepare, proofread, and distribute correspondence, presentations, reports, and other documents for internal and external use. Maintain confidentiality when handling sensitive information. 
  • Project Assistance: Assist with the coordination of special projects and tasks, collaborating with cross-functional teams as needed to ensure project milestones are met on time. 
  • Office Operations: Support the administrative functions of the office, including supply management, facilities coordination, and organizing office-related activities. 
  • Event & Travel Coordination: Assist with the planning and execution of key LA28 events, including booking travel, managing guest lists, and overseeing logistics. 
  • Data Management: Maintain and update databases, records, and filing systems, ensuring accuracy and organization in all documents while protecting document version controls.  
  • Employee Onboarding: Support onboarding efforts and set-up for new team members. 
  • Project Support: engage in project work across the department as assigned, opening up opportunities for learning and growth across multiple safety & security disciplines. 

Background & Qualifications:

  • 3+ years of experience in an administrative or executive support role in a fast-paced environment.  
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams, SharePoint)  
  • Experience supporting safety or security executives is preferred.  
  • Experience working with the federal, state or local government or a private sector/corporate security team is a plus.  
  • Experience in event planning or large-scale project management is a plus 

Physical Requirements and Working Conditions 

  • The position is located in Los Angeles with in-person attendance required.  
  • The LA28 office is an open floor plan working environment, employees must be able to work efficiently in an open cubicle environment.  
  • Occasionally there may be a requirement for working hours outside of traditional business hours/days to support special events, travel, and the 2028 Games.  

Education:

  • Bachelor’s degree preferred but not required 

Expectations:

  • Ability to work both independently and collaboratively, with a proactive approach to problem-solving. 
  • High level of discretion and professionalism when handling confidential information. 
  • Demonstrated commitment to co-creation and collaborative decision-making
  • Passion for sports, community engagement, or involvement in large-scale events. 
  • Excellent organizational and time management skills, with the ability to manage multiple priorities and meet deadlines. 
  • Strong written and verbal communication skills.

The annual base salary range for this position is $73,000.00 - $95,000.00. The pay scale provided is the range that LA28 reasonably expects to pay as starting base compensation for this role. All LA28 compensation remains subject to final determination based on individual candidate qualifications, experience, or other reasonable criteria consistent with LA28’s operational business needs and applicable law.
