
Executive Assistant to CBO (temp)
Job Title: Executive Assistant to CBO (leave coverage, 6-month contract)
Location: Hybrid in NYC (3 day in-office requirement)
Qualifications:
- 5+ years of professional experience with a minimum of 1–2 years of experience as an Executive Assistant or in a comparable administrative support role
- Demonstrated experience managing complex executive and departmental calendars, prioritizing high volumes of requests while tracking team goals and key milestones
- Proven ability to handle sensitive and confidential information with the highest level of discretion and professionalism
- Highly organized, detail-oriented, and proactive, with strong time management and follow-through skills
- Strong written and verbal communication skills, with the ability to interact confidently and professionally with executives, partners, and cross-functional stakeholders
- Advanced proficiency in Google Workspace (Gmail, Calendar, Docs, Sheets, Slides, and Groups)
- Experience coordinating travel arrangements and logistics for partner meetings, conferences, and departmental events
- Ability to plan, initiate, and support external onsite workshops, partner onsites, and events
- Experience managing operational (OpEx) budgets, travel, and expenses
Bonus points:
- Experience in highly external-facing executive support roles, engaging confidently with partners and stakeholders
- Project or program management experience, with the ability to drive initiatives from planning through execution
A day in the life and how you’ll make an impact:
- Operate with urgency and clarity—move quickly without compromising quality, prioritize ruthlessly, and act as a force multiplier to bring high-value partnerships to life, including managing complex executive calendars, preparing leaders for meetings, and ensuring timely follow-up on decisions and action items.
- Partner closely with leaders to help execute their vision, ensuring they have the information, resources, and support needed to succeed by anticipating needs, coordinating communications, drafting materials, and serving as a trusted point of contact across internal and external stakeholders.
- Lead and support ad-hoc projects with a proactive, solutions-oriented mindset to drive meaningful outcomes, from scoping and coordination through execution, tracking progress, and keeping stakeholders aligned on timelines and deliverables.
- Bring a strong operational focus and collaborative approach, tracking issues and driving alignment across teams and functions by organizing workflows, maintaining documentation, monitoring priorities, and ensuring nothing falls through the cracks.
