In this role, you will provide executive-level administrative support to our Chief Investment Officer (CIO) and NLG Capital Leadership team. In addition, you will be responsible for planning, organizing and/or managing special projects to deliver against our strategic objectives. Providing in-depth administrative and project coordination support, you will interface with external partners and all levels of leadership throughout the Company. Strong organization, prioritization, discretionary judgement, communication and multi-tasking skills are essential in this role and are the keys to your success in handling ever-changing demands and bringing leaders together.

Role Summary
This role provides direct, high-trust support to the Chief Executive Officer and Chief Investment Officer of NLG Capital (the “CEO/CIO”) and serve as the administrative lead for NLG Capital. Central to the operating effectiveness of the investment organization: it creates structure around the CEO/CIO’s priorities, coordinates the work of the administrative team, and helps ensure that the organization’s decision-making cadence translates into timely execution and results.
The role will be the lead administrator among a team of multiple administrative professionals supporting the Investment function. Working alongside NLG Capital executives, this associate will help establish clear service expectations, operating standards, and performance goals for the other administrative professionasl; coordinate coverage and workflow; and promote consistent, high-quality execution across the team. The role requires sound judgment, discretion, exceptional organization, and the ability to lead through influence in a fast-moving investment environment.
This position currently offers an onsite work schedule, with the expectation that you will be in the office four (4) days per week during onsite core days. Our current onsite core days are Monday, Tuesday, Wednesday, and Thursday, with flexibility to be onsite on Fridays when there is a business need. The work schedule type and core days are subject to change with advance notification and manager discretion.
Essential Duties and Responsibilities
- Provide proactive, sophisticated administrative support to the CEO/CIO, including calendar management, meeting preparation, travel, correspondence, expenses, and follow-through on commitments.
- Manage the CEO/CIO's daily operating rhythm by prioritizing requests, resolving conflicts, anticipating needs, and ensuring that time is focused on the organization's most important decisions and relationships.
- Serve as a trusted point of coordination for sensitive matters involving senior leaders, employees, board members, clients, external partners, and other stakeholders, maintaining a high degree of confidentiality and discretion.
- Prepare, organize, and proofread communications, briefing materials, presentations, and other executive documents; coordinate inputs and maintain version control as appropriate.
- Coordinate the administrative workflow supporting the Investment Committee and related investment governance forums, in partnership with the CEO/CIO and committee leadership.
- Maintain the committee calendar, annual and recurring meeting cadence, agendas, submission deadlines, pre-read requirements, decision materials, and follow-up process.
- Work across investment, risk, finance, legal, operations, and other teams to ensure that complete and properly formatted materials are delivered into the investment decision-making framework on time.
- Track decisions, action items, owners, and deadlines; follow up with responsible parties and provide clear visibility to the CEO/CIO and relevant leaders on progress and outstanding matters.
- Identify gaps, timing risks, or competing priorities early and escalate them with proposed solutions so that decision-making remains timely, disciplined, and execution-oriented.
- Serve as the administrative lead for NLG Capital and the primary coordinator for the team of four executive assistants supporting the Investment function.
- Work with NLG Capital executives to define expectations, service standards, responsibilities, coverage protocols, and performance goals for the EA team.
- Coordinate the allocation and sequencing of administrative work, promote consistent processes, and ensure appropriate coverage during periods of absence or competing demand.
- Support recruiting, onboarding, feedback, development, and performance-management processes for the other EAs in partnership with the relevant executives and company leadership.
- Build effective working relationships across the organization and foster a culture of responsiveness, accountability, teamwork, and commitment to the success of NLG Capital as a whole.
- Coordinate NLG Capital leadership meetings, team meetings, off-sites, client events, dinners, and other high-priority engagements from planning through completion.
- Manage special projects and cross-functional initiatives on behalf of the CEO/CIO or NLG Capital leadership, including workplans, communications, deliverables, and status reporting.
- Support onboarding, workspace, technology, supplies, inventory, and other departmental administrative needs in coordination with appropriate internal partners.
- Arrange complex domestic and international travel, accommodations, itineraries, meeting logistics, and related correspondence; manage expense reporting accurately and promptly.
- All other duties as assigned.
Minimum Qualifications
- Bachelor's degree or equivalent experience.
- 8+ years supporting senior executives or equivalent executive operations experience.
- Demonstrated project leadership and executive communications experience.
- Significant experience supporting a CEO, CIO, or other senior executive in an investment management, asset management, financial services, insurance, or similarly complex environment.
- Demonstrated ability to lead or coordinate other administrative professionals and establish clear expectations, standards, and operating processes.
- Experience coordinating executive-level meetings, governance processes, decision materials, or complex cross-functional projects.
- Exceptional organization, prioritization, follow-through, and attention to detail, with the ability to manage multiple competing demands without losing sight of the highest priorities.
- Excellent written, verbal, and interpersonal communication skills, including the judgment and maturity to handle sensitive and confidential information.
- Strong independent judgment and problem-solving ability; able to identify issues, evaluate alternatives, make recommendations, and act with appropriate discretion.
- Proficiency in Microsoft Office, including Word, Excel, PowerPoint, Outlook, Teams, and related collaboration tools; ability to learn company-specific systems quickly.
- Able to pass a background check.
Preferred Qualifications
- MBA or other advanced degree.
- Certified Administrative Professional (CAP) certification.

Base Pay Range. The base pay range for this position is the range National Life reasonably and in good faith expects to pay for the position taking into account the wide variety of factors, including: prior experience and job-related knowledge; education, training and certificates; current business needs; and market factors. The final salary or hourly wages offered may be outside of this range based on other reasons and individual circumstances.
Additional Compensation and Benefits. The total compensation package for this position may also include a full range of medical, financial, and/or other benefits (including 401(k) eligibility and various paid time off benefits, such as vacation, sick time, and parental leave), dependent on the position offered. The successful candidate may also be eligible to participate in National Life’s discretionary annual incentive programs, subject to the rules governing such programs. If hired, the employee will be in an "at-will position" and National Life reserves the right to modify base salary (as well as any other discretionary payment or compensation or benefit program) at any time, including for reasons related to individual performance, company or individual department/team performance, and market factors.

Hourly Pay Range
$84,375 - $123,750 USD
