
Senior Executive Assistant

To support the Executive Leadership Team in executing strategic initiatives and scaling the business, we are seeking a highly organized and proactive Senior Executive Assistant. The role of the Senior Executive Assistant is to ensure the office runs efficiently, and to represent the company both externally and internally in a manner that corresponds to the company culture. This role will be the primary support person in everything administrative, as well as a partner in enabling the operations of the business. This is a hybrid position based in NYC; in-office days are Tuesday, Wednesday, and Thursday.
This person will play a critical role for several ELT leaders ensuring time is optimized, high-stakes engagements are managed, and facilitating seamless coordination between commitments. The ideal candidate thrives in fast-paced environments, has a background working in consulting, finance, or legal industries, and possesses strong multitasking skills with an acute attention to detail.
Key Responsibilities
Executive Support and Administration
- Strategically and proactively manage complex and ever-changing calendar, scheduling meetings with efficiency and foresight while ensuring the right stakeholders are included.
- Serve as a trusted liaison between the assigned ELT members and interna/external stakeholders, including the Chief of Staff and other executives, industry partners, board members, and media contacts.
- Screen and prioritize high volumes of correspondence, resolving issues and escalating matters as necessary.
- Maintain a look-ahead document and briefing book, ensuring leadership is always prepared for upcoming priorities and engagements.
- Handle sensitive information with the highest level of confidentiality and professionalism.
Meeting and Event Preparation
- Draft detailed event and meeting briefs, develop agendas, and coordinate materials to ensure leaders are fully equipped.
- In partnership with the CoS, assist in prepare for speaking engagements, board meetings, and industry events by sourcing information, briefing materials, and key insights.
- Attend industry events as needed, providing logistical support and ensuring seamless execution.
- Plan and manage logistics for events including company meetings, leadership offsite events and social gatherings.
- Occasionally support broader Newsweek events, particularly in the NYC headquarters.
Travel and Logistics Management
- Oversee and coordinate complex domestic and international travel arrangements, ensuring all logistics align with the agenda.
- Research and secure premium accommodations, dining reservations, and executive services as needed.
- Adapt quickly to last-minute changes, ensuring flexibility in travel plans.
Office and Personal Administration
- Handle select administrative tasks, including managing expenses, running occasional errands, and overseeing personal commitments that intersect with business responsibilities.
- Maintain an organized system for tracking tasks, deliverables, and follow-ups, prioritizing conflicting needs and handling matters expeditiously and proactively.
Qualifications and Experience
- Experience: 10+ years supporting high-level executives, ideally in fast-paced industries such as consulting, financial services and media or companies experiencing fast-paced growth.
- Attention to Detail: A relentless focus on accuracy, follow-through, and ensuring nothing falls through the cracks. The ideal candidate is methodical, thorough, and consistently stays ahead of tasks and timelines.
- Strategic Thinking: Ability to anticipate needs, proactively resolve issues, and navigate competing priorities with efficiency.
- High-Speed Execution: Operates with a sense of urgency and accuracy in a demanding, fast-paced environment.
- Exceptional Communication: Strong written and verbal communication skills; ability to draft professional correspondence and reports.
- Tech-Savviness: Proficiency in Googe Suite, Microsoft Office, scheduling and travel arrangement platforms, and social media tools.
- Discretion and Judgment: Strong decision-making skills and ability to handle confidential matters with professionalism.
- Flexibility and Adaptability: Comfortable with shifting priorities and available for occasional after-hours support as needed.
Salary range: $125,000 - $175,000 commensurate with experience
