Position Overview: We are seeking an experienced and highly organized Operations Associate with strong administrative and communication skills to oversee day-to-day operations on site. This role will involve managing the site’s workflow, supervising teams, coordinating with stakeholders, and ensuring all activities adhere to safety and quality standards. The ideal candidate will be organized, detail-oriented, able to handle multiple tasks simultaneously, and possess excellent interpersonal skills to effectively communicate with teams, clients, and other parties.

Essential Duties & Responsibilities:

  • Systems and Property Maintenance: Ensure all building systems are operable, reliable, and safe for use. Responsible for arranging ongoing maintenance and repairs and coordinating with contractors, mechanics, and porters to perform maintenance and repairs of building systems as required. 
  • Cleaning & Upkeep: Supervise staff to ensure preventive and routine cleaning across EDC properties, including entrances, windows, waste bins, storage rooms, break rooms, restrooms, and grounds.
  • Vendor Management: Assist in managing contracted workers and vendors, ensuring adequate coverage and implementation of a systematic cleaning program.
  • Supply Management: Maintain stock of supplies and ensure proper storage and organization.
  • Supervisory Duties: Oversee janitorial staff and develop standards for their daily performance.
  • Tenant Relations: Address property requests and ensure timely service delivery to tenants.
  • Emergency Response: Be available 24/7 to handle emergencies and assist with decision-making during critical situations.
  • Property Management: Conduct random visits to properties and work with field employees on being proactive with property improvements and repairs. Monitor all tenant improvements ensuring compliance with building codes and insurance regulations. Provide immediate action to alleviate problems. Interact with all tenants and portfolio management asset managers for assigned properties.
  • Site Inspections: Own the implementation and roll out of inspection plans, process improvements for properties and staff assigned there and remedy problems as encountered.  
  • Budget Management: Assist in preparing and monitoring the annual property budget, ensuring fiscal control.
  • Administrative Support: Provide administrative support to staff within the vertical as needed.  Duties can include assisting in reconciling monthly purchase card invoices, data entry for AM related systems such as AC/DC, invoicing support for others within vertical and other administrative duties as assigned.
  • Asset Management Support: Aid, as required to the remainder of the division under the direction of the VP of Facilities. 
  • Supporting Property Operations: Other duties as assigned by the VP of your pillar and SVP of Asset Management Ops Department
  • Tours & Site Visits: Manage internal and external site tours, including media visits and executive escorts.
  • Ops Office Management: Oversee the daily operations of the office, including coordination of hot desks, office supplies, and team lunches.
  • After-Hour Support: Provide after-hours support for contractor escorts, site visits, and EDC events when needed.
  • Snow Removal: Coordinate snow removal logistics and participate in the removal process during snow events.
  • Duty Station & Reporting: This is an onsite position at the Brooklyn Marine Terminal Campus, with occasional travel to the main office at One Liberty Plaza. Weekend coverage may be required with manager approval.
  • Other duties as assigned.

Qualifications:

  • Bachelor’s Degree in Facilities Management, Business Administration, Property Management, Engineering, or equivalent with an interest in facilities operations.
  • At least 2 years' experience in operations roles, building, and/or facilities
  • Experience overseeing properties and/or projects with competing priorities
  • Proven ability to work effectively across multidisciplinary teams
  • Ability to work with maintenance and janitorial staff
  • Experienced in email communication and drafting memos, PowerPoint presentations, and excel.
  • Experience in project management and easily able to communicate with contractors and compile project updates
  • Proficient in Microsoft Word, Outlook, Excel, PowerPoint, and a strong attention to detail
  • Ability to work in a team environment and to work on individual projects with minimal oversight
  • Valid driver’s license
  • Familiarity with typical building systems
  • Familiarity with building and fire code codes/regulations
  • 24 hour on-call response
  • New York City residence is required within 180 days of hire. 

Salary Range

$68,000 - $70,000 USD
