Role Summary:
We’re looking for an Administrative Coordinator to perform a variety of administrative tasks and support the executive team. In this role, you will contribute to the efficiency and culture of Overland AI by providing personalized and timely support to company leadership, and play a role in the day-to-day operations of our Seattle office. This is a role with high visibility, working hand-in-hand with our executive team on a generational opportunity to build a critical capability, and the business to deliver it, during an urgent time.
Key Responsibilities:
- Manage calendars of executive team; Have a detailed understanding of the priorities of the executive team and workload to predict, prioritize and make recommendations/offer scheduling tradeoffs
- Support company-wide scheduling, including all hands meetings and interview coordination
- Collaborate with operations team to accomplish company-wide priorities
- Manage office front desk; assist guests and administer sign-in and sign-out process; receive packages, check mail, and help with general upkeep of our facility
- Arrange all aspects of the executives’ travel, including flight bookings, accommodation, transportation, and itineraries
- Take notes during meetings, as needed; communicate follow-ups
- Handle all expenses for the executives in a proactive, fiscally alert manner
Desired Experience & Qualifications:
- At least 2 years of shown success supporting a C-level executive in a fast paced, high-growth, and constantly evolving environment
- Ability to handle sensitive and confidential information
- Ability to handle high-priority time-sensitive tasks during and outside of business hours
- Demonstrated track record of executing projects from start to finish
- Outstanding time management and leadership skills with demonstrated ability to handle multiple priorities
- Excellent verbal and written communication skills
- Highly proficient with all Microsoft Office applications
