Earlier this year, the U.S. Army and the Defense Innovation Unit (DIU) jointly awarded the company an $18.6 million contract to develop autonomy software for the Army's Robotic Combat Vehicle (RCV) program. Overland AI currently supports a range of programs in the U.S. Army, Marine Corps, and Special Operations Command.
Role Summary:
We’re looking for an Executive Assistant to perform a variety of administrative tasks and support the CEO and executive team. In this role, you will contribute to the efficiency and culture of Overland AI by providing personalized and timely support to the executive team. This is a role with high visibility, working hand-in-hand with our CEO and executive team on a generational opportunity to build a critical capability, and the business to deliver it, during an urgent time.
Key Responsibilities:
- Manage calendars of executive team; Have a detailed understanding of the priorities of the executive team and workload to predict, prioritize and make recommendations/offer scheduling tradeoffs
- Provide project management support on special initiatives and strategic projects as assigned by the CEO or other members of the executive team
- Collaborate with operations team to accomplish company-wide priorities
- Manage office front desk; assist guests and administer sign-in and sign-out process; receive packages and check mail
- Arrange all aspects of the executives’ travel, including flight bookings, accommodation, transportation, and itineraries
- Take notes during meetings, as needed; communicate follow-ups
- Handle all expenses for the executives’ in a proactive, fiscally alert manner
Desired Experience & Qualifications:
- At least 2 years of shown success supporting a C-level executive in a fast paced, high-growth, and constantly evolving environment
- Ability to handle sensitive and confidential information
- Ability to handle high-priority time-sensitive tasks during and outside of business hours
- Demonstrated track record of executing projects from start to finish
- Outstanding time management and leadership skills with demonstrated ability to handle multiple priorities
- Excellent verbal and written communication skills
- Highly proficient with all Microsoft Office applications
