(Freelance) Office/Front Desk Manager (m/f/d)

About the Job

We are looking for a new freelance member for our Office team at A11 to ensure the phone queries are always answered, business partners are warmly welcomed and your colleagues are well equipped with fruits and beverages. You are the first face that your colleagues and business partners see when arriving at our office.

In this role, you’ll:

  • Acting as the first face of A11, warmly welcoming all business partners and supporting a positive office experience for all colleagues.
  • Managing the Reception area, including taking all incoming phone calls and ensuring all phone queries are always answered.
  • Efficiently managing and supporting all conference rooms, including preparation, post-processing, and assisting with room bookings.
  • Coordinating catering and providing the required technical and logistical equipment for meetings and internal events.
  • Actively participating in the organisation and the smooth execution of internal company events.
  • Ensuring your colleagues are well-equipped by ordering and managing the inventory of fruit, beverages, and all necessary office supplies.
  • Sorting and processing all incoming mail and deliveries in an organised and timely manner.
  • Overseeing and ensuring the cleanliness and order of commonly used office areas.
  • Providing reliable and active support in broader Office Management tasks as required.

Your Profile:

  • Successfully completed training in a service-oriented field (e.g. Hotel Management) or a comparable qualification.
  • Proven talent for coordination and organization with a high degree of proactivity.
  • Initial practical experience in the hotel industry, at a front desk, or in a customer service role is a significant plus.
  • Solid working knowledge of MS Office applications (Outlook, Excel, Word).
  • A naturally positive attitude and genuine enjoyment in dealing with people.
  • Motivation to provide competent, professional, and excellent service to both colleagues and business partners.
  • Strong collaborative spirit (a real team player), flexibility, and absolute reliability.
  • Very good German skills and fluent English (both required to handle internal and external communication professionally).

Please note that this position is based in our Berlin office and is a freelance role. Eligibility to work within the EU is a mandatory requirement for this role.
