Part-Time Event Coordinator

Job Overview 

The Part-time Event Planner is responsible for coordinating and executing successful events from conception to completion. This role requires exceptional organizational skills, creativity, and the ability to manage multiple projects simultaneously while maintaining attention to detail. 

Key Responsibilities 

  • Coordinating and managing customer visits and events at our offices in Jacksonville 
  • Coordinate all event details including agenda, food & beverage, reservations, and transportation 
  • Create and manage detailed event timelines, checklists, and production schedules 
  • Manage event budgets and track expenses to ensure financial targets are met 
  • Oversee event setup, execution, and breakdown to ensure smooth operations 
  • Communicate event plans, updates and strategy across teams 
  • Conduct post-event evaluations to identify successes and areas for improvement 
  • Manage tracking and reporting on event outcomes and follow ups across the organization 
  • Maintain relationships with internal teams, visiting customers, venues, and service providers 

Skills & Qualifications 

  • Bachelor's degree in Event Management, Hospitality, or related field preferred 
  • 2+ years of experience in event planning or related role 
  • Exceptional organizational and multitasking abilities 
  • Strong written and verbal communication skills 
  • Creative problem-solving approach and ability to think quickly under pressure 
  • Proficient in MS Office suite 
  • Strong budgeting skills 
  • Detail-oriented with excellent time management capabilities 
  • Customer service mindset and professional demeanor
