Office Manager / Executive Assistant
The Role
We are seeking a qualified Temp-to-Perm Office Manager/ Executive Assistant to support a team of Portfolio Managers at Schonfeld in our San Francisco office. The ideal candidate is self-motivated, professional, and capable of managing a diverse workload and prioritizing tasks in a fast-paced corporate environment. This position requires wearing multiple hats and have a “no task is too big or too small” mentality.
What you’ll do
This candidate will be responsible for extensive scheduling and calendar management, preparing agendas for meetings, expenses, answering phones and taking messages. They will arrange domestic and international travel, accommodations, itineraries, and all correspondence related to arrangements including flights, hotels, car service, meetings, restaurant reservations. This candidate will greet visitors, coordinator an office move, stock kitchen and procure office supplies, coordinate catering needs, order food for lunches, meetings, etc., receive and send mail & packages, communicate with external vendors to ensure day-to-day office activities run smoothly, and track inventory expenses and compile reports.
What you’ll bring
What you need:
- At least 3 years’ experience working as an Office Manager/team Executive Assistant in finance
- Strong written & verbal communication
- Proficient in Microsoft Outlook and Microsoft Office Suite (Word, Excel, PowerPoint)
- Ability to meet deadlines, prioritize and manage multiple streams of information & tasks
- Process-oriented and very strong attention to detail
- Efficient time management and strong sense of urgency
- Exceptional organizational and time-management skills
- Self-Starter, personable, mature, team player, and poised

The base pay for this role is expected to be between $80,000 and $95,000. The expected base pay range is based on information at the time this post was generated. This role may also be eligible for other forms of compensation such as a performance bonus and a competitive benefits package. Actual compensation for the successful candidate will be determined based on a variety of factors such as skills, qualifications, and experience.
