POSITION OVERVIEW

The Director of Facility Operations is responsible for maintaining attractive, safe, and fully operable buildings and grounds, requiring a high level of property maintenance knowledge.

This role will ensure that every aspect of the property's environment from cutting-edge sync rooms to curated art installations and luxury hospitality accommodations is maintained to the highest standard of excellence and sophistication.

All aspects of the presentation of Sensei Porcupine Creek must always meet the criteria standards of company and brand. Accountable for managing budgets, capital expenditure projects, preventative maintenance, and energy conservation with an emphasis on maintaining corporate standards and regulatory requirements. Contributes to the daily operational success of the Retreat and will work towards advancing the ownership’s vision to elevate and innovate in key areas while managing productivity, efficiency and with quality throughout.

This fast-paced, high-touch role will bring expertise in building systems, engineering, and operational efficiency, while delivering a white-glove experience that reflects the property's commitment to innovation and attention to detail. You will manage facilities that rival any luxury property and distinguished cultural spaces, creating an environment that supports excellence at every level.

The leadership In this role will be integral to sustaining exceptional facilities that enable extraordinary guest experiences and administrative operations. Through seamless execution and collaboration with a multidisciplinary team, you will uphold the property's reputation for innovation, sophistication, and excellence while fostering discovery, growth, and collaboration.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:

· Lead with Purpose: Guide the Facilites team and collaborate with experts to create an environment of discovery and excellence.

· Manages, collaborates with and streamlines operations for the leaders of the departments of Engineering, Information Technology, Purchasing, Safety and Security, and has a dotted facilities line to Golf Course Maintenance Leadership,

· Oversee the planning, scheduling, and execution of corrective, preventative, and calibration work orders, ensuring efficient operations and minimal downtime.

· Develop and maintain standard operating procedures (SOPs) and job plans to streamline processes and ensure consistent, high-quality performance.

· Implement comprehensive deferred and preventative maintenance programs, manage equipment inspections, repairs, and purchases to maintain optimal facility functionality.

· Manage day-to-day operations for accommodations, ensuring facilities meet Institute standards and remain functional, aesthetically appealing, and compliant with ADA regulations.

· Lead relationships with external contractors and vendors for facility services, maintenance, construction, and renovation projects, ensuring high-quality execution and timely delivery.

· Oversee the development and implementation of a spare parts program and manage procurement activities for facility needs, ensuring timely approval and cost-efficiency.

· Lead energy management programs aimed at reducing costs and improving efficiency, supporting the organization's sustainability goals.

· Conduct safety inspections, collaborate with Security to address any risks, ensure compliance with health and safety regulations, and provide necessary safety equipment while maintaining accurate records.

· Work closely with, advise, and coordinate with the General Manager on any issues related to property maintenance and landscape operations

· Manage and oversee facilities maintenance and grounds staff, internal and 3rd party

· Ensure and monitor compliance with codes, regulations, policies and standards

· Collect and verify, analyze and report internal facility management data to ensure impeccable maintenance of all aspects of the facilities and grounds

· Plan, direct and manage/oversee facility management and operational technologies

· Continually assess the condition of the facilities and grounds and address all needed improvements expeditiously

· Make decisions and recommendations regarding the most appropriate way to provide maintenance services in a financially responsible manner

· Manage/oversee the acquisition, installation, operation, maintenance and disposal of building systems and structural, interior, exterior and grounds elements

· Maintain up-to-date knowledge of current products and technology for fixed assets

· Manage/oversee the vendor contracting process with regards to maintenance, facilities management and landscaping

· Develop policies and guidelines related to usage and maintenance standards

· Oversee the financial management of the Engineering department & Oversee the budgeting process for facility operations, reviewing and approving expenses to ensure cost-effective management of resources.

· Assist in or lead emergency responses, including after-hours and weekend support, ensuring smooth and safe operations during emergencies.

· Collaborate with vendors and contractors to optimize workspace functionality and aesthetics, maintaining a visually appealing design in line with the Institute brand and overseeing building improvement projects.

· Ensure all required Fire, Life Safety equipment and procedures are in place and regular training and certification is conducted

· Maintain environmental stewardship & sustainability aligned with Sensei standards

· Develop, recommend, manage and oversee environmental impact programs

· Maintain knowledge of all technology platforms and applications required for proper maintenance of facilities and grounds

· Understand the Sensei mission, philosophy and brand standards and develop a team culture around the core company mission

· Ensure standard operating practices (SOPs) are in place and regularly updated, train staff to such standards and maintain accountability

· Lead by example with the ability to mentor, inspire, empathize and establish and communicate clear expectations aligned with the Sensei Culture, brand standards of guest experience and service guidelines

· Be familiar with the existing and emerging health and safety protocols associated with COVID-19 and how such events have impacted our business, guests, and employees

· Maintain and monitor execution and follow-through of agreed upon daily, weekly, monthly and quarterly communication meetings and resulting actions items and initiatives

· Maintain a strong unwavering commitment to ensure employees are well cared for in their daily work and that wellbeing activities and opportunities for growth are provided

· All related duties as assigned by the General Manager

· Leadership – Maintain a positive, upbeat role, promote and exemplify Company values and represents departmental objectives and interests to internal and external customers

· Customer Service – Follow up on complaints, questions, and concerns; respond to internal/external customer needs in a friendly, timely and efficient manner

· Teamwork - Develop and promote teamwork and cooperation among co-workers

· Safety – Comply with established safe work practices and attend to all safety-related training provided or made available by the Company.

· Due to the intimate nature of the resort with limited number of guests on property, must assist teams laterally across all departments to lead a seamless guest flow throughout the different resort spaces.

QUALIFICATIONS

Education and/or Experience

· Minimum of five (5) years’ experience actively serving in a facilities engineering leadership role in a luxury hotel/resort environment to include spa and recreational facilities

· Experience In oversight of Information Technology department

· Experience In oversight of a Security Department

· Experience In oversight of a Purchasing Department

· Experience In oversight of Grounds maintenance, Ideally with Golf Course experience.

· Extensive project management experience

· Extensive knowledge of HVAC, electrical, plumbing and general maintenance skills

· Must be familiar with Facility Preventative Maintenance Programs

· Must have working knowledge of diagnostic equipment and machine shop tools

· Must have working knowledge of CAL OSHA, HazMat, and building and fire codes

· Must be strategic and have strong business acumen

· Strong organizational, computer and leadership skills

· Excellent written, verbal and interpersonal communication skills

· Technology and applications such as Excel, Word, Asana, Slack and others

· Ability to recruit, retain, develop, motivate and inspire a team

· Discerning attention to detail, brand presentation and cleanliness

Required Technical / Other Skills and Abilities

· Must possess extremely competent computer and technological skills

· Must demonstrate the ability to read blueprints, tech manuals, and manufacturer's data

Required Licenses/Certifications

· Must possess a valid California's driver's license and an acceptable MVR (Moving Vehicle Record)
