Lobby Ambassador
Reports To: The Lobby Ambassador will report to the Client Services Supervisor, Client Services Manager, or equivalent leadership.
Job Overview:
The Lobby Ambassador serves as the first and last point of contact for employees, clients, and visitors—creating a professional, courteous, and welcoming environment. This role combines hospitality, front-desk operations, and administrative support while maintaining awareness of security, risk management, and overall workplace experience. The ideal candidate demonstrates poise, discretion, and a proactive attitude, ensuring the lobby area reflects the company’s values of professionalism and excellence.
Responsibilities:
Front Desk and Guest Services
- Greet and assist employees, clients, and visitors, ensuring a professional first impression.
- Manage visitor registration, issue badges, and notify hosts of arrivals.
- Answer and route calls, handle inquiries, and support guest needs promptly.
- Maintain a clean, organized, and secure reception area.
- Support meeting logistics, event signage, and adherence to safety and security procedures.
Administrative and Workplace Support
- Provide administrative and clerical support using Microsoft Office Suite for data entry, reporting, and correspondence.
- Submit and track maintenance or janitorial requests through the case management system.
- Manage mail, packages, and deliveries with accuracy and timeliness.
- Maintain logs, records, and signage for office communications and events.
- Collaborate with cross-functional teams and participate in cross-training as needed.
Additional Expectations:
- Maintain flexibility to meet evolving business demands in a high-volume environment.
- Adhere to company policies, procedures, and safety guidelines at all times.
- Demonstrate professionalism, integrity, and a commitment to excellence in all interactions.
Qualifications:
- High school diploma or equivalent; additional administrative or customer service training preferred.
- 2–5 years of experience in reception, front office, or customer service roles in a corporate setting.
- Strong communication and interpersonal skills with a professional demeanor.
- Proficiency in Microsoft Office Suite and Outlook.
- Excellent multitasking, time management, and organizational abilities.
- Reliable, punctual, and able to work independently or within a team.
- Ability to lift up to 40 lbs. and sit or stand for extended periods, with or without accommodation.
