Job Title: Facilities Specialist
Reports To: The Facilities Specialist will report to the Client Services Supervisor, Client Services Manager, or equivalent leadership.
Job Overview:
The Facilities Specialist is responsible for ensuring the efficient operation, safety, and maintenance of the workplace. This role encompasses oversight of building systems, routine inspections, and preventive maintenance in partnership with the union engineer, as well as the execution of light electrical, plumbing, and locksmith tasks.
Duties and responsibilities include:
Start the day early by opening all floors and ensuring everything is in order. If issues arise, take immediate action, either resolve them internally or call vendors on-site promptly.

START DAY EARLY OPEN ALL THE FLOORS AND MAKE SURE THAT EVERYTHING IS IN ORDER. IF ANYTHING IS NOT IN ORDER, NEED TO TAKE ACTION … EITHER RESOLVE THE ISSUE INTERNALLY OR GET VENDORS ON-SITE AS SOON AS POSSIBLE TO RESOLVE THE ISSUE.

COMPLETE MORNING FACILITIES CHECKLIST THAT IS SENT TO NATIXIS MANAGERS. (CHECK ALL PANTRY EQUIPMENT TO MAKE SURE THEY ARE WORKING PROPERLY)

IN CHARGE OF NATIXIS CCTV SYSTEM (DAILY CHECKS, WEEKLY RECORDING CHECKS) IN CASE OF ANY SITUATION, NEED TO REVIEW FOOTAGE AND PROVIDE FEEDBACK OF MY FINDINGS.

MAKE TEMPERATURE ADJUSTMENTS ON DEMAND, IF THERE IS AN ISSUE THAT CAN’T BE RESOLVED USING THE BMS (BUILDING MANAGEMENT SYSTEM) WILL NEED TO GET BUILDING ENGINEERING DEPT., CONTROLS VENDOR OR MECHANICAL VENDOR INVOLVED TO RESOLVE ISSUE.

FIRE GUARD WHEN IS NECESSARY.

WORK TOGETHER WITH UNION ENGINEER TO COMPLETE ALL PREVENTIVE MAINTENANCE FOR ALL NATIXIS CRITICAL EQUIPMENT IN A DAILY, MONTHLY AND QUARTERLY BASIS. WHEN THERE IS AN EMERGENCY, THIS REQUIRES FULLY UNDERSTANDING ON HOW THIS CRITICAL EQUIPMENT WORKS (EMERGENCY GENERATOR, UNINTERRUPTED POWER SUPPLY MODULES, TRANSFER SWITCHES, LIGHTING INVERTERS, PRE-ACTION AND FOAM SUPPRESSION SYSTEMS, FAN COIL UNITS AND COMERCIAL AIR CONDITIONERS AND PRIME HVAC AND PRE-ACTION DRAINS TO AVOID BAD ODOR)

MANAGE DAYTIME CLEANING CREW.

SUPERVISE VENDORS WHILE THEY ARE ON-SITE TO ENSURE THAT THE JOB IS BEEN COMPLETED CORRECTLY.

WORK HAND TO HAND WITH NATIXIS HEAD OF FACILITIES IN ANY KIND OF SMALL OR BIG PROJECT NEEDED BY NATIXIS.

HANG TV’S ON THE WALLS WHEN NEEDED.

INSPECT FIRE EXTINGUSHERS ON A MONTHLY BASIS.

IN CHARGE OF PROVIDING INFORMATION TO USERS, VENDORS AND SUPPLIERS OF NATIXIS AND BUILDING POLICIES SUCH AS CERTIFICATE OF INSURANCE, BUILDING OPERATION HOURS AND REGULATIONS.

RESPONSIBLE TO RESPOND TO ANY EMERGENCY CALL 24/7; #2 ON THE EMERGENCY ESCALATION LIST FOR VERTIV(MONITORING COMPANY) THAT MONITORS ALL CRITICAL EQUIPMENT ON-SITE THIS REQUIRES ACTION INCLUDING BEING ON-SITE WHEN IS NECESSARY.

Qualifications and Education Requirements:

- 2+ years of facilities or maintenance required.
- Previous management, supervisor, or lead experience.
- Ability to build business relationships and interact effectively with C level executives.
- Solid understanding of selling skills.
- Exceptional computer skills.
- Industry related experience a plus.
- Driven by client satisfaction, with proven track record of diplomacy and ownership.

Physical Demands:
- Fine and/or gross motor skills, including the ability to grasp, lift and/or carry or otherwise move packages on a standard wheeled cart with a load capacity of 60 lbs.

- Manual dexterity required for operating office machinery (phone, copy machines, binding equipment, etc.).
