Manager, EMEA & APAC Workplace Operations

We are seeking a skilled and experienced Manager of Workplace Operations for our EMEA and APAC regions to join our Global Workplace Team. This role entails overseeing all workplace operations across EMEA and APAC including overseeing a team of local office managers in each office. This position requires international travel and close coordination with North American and global leadership to ensure standardization. Key responsibilities include leading a team of regional office managers, coordinating construction projects and office refreshes, overseeing all local facilities and MEP systems, and handling all vendor relationships from janitorial services to food and beverage programs. The role also involves working closely with HR, Security, and Marketing on employee onboarding/offboarding, access control, emergency preparedness, and local events, while also developing regional strategies for office densification and seat assignments. This position is responsible for creating and managing the annual OpEx budget for EMEA and APAC, contributing to global initiatives like the "Office in a Box" program, and maintaining workplace communications and a Workplace Business Partner program. This position requires strong leadership skills, the ability to manage a team, internal stakeholders, and vendor relationships within many different timezones. Operational excellence is key for this position. This role is critical for ensuring a productive, safe, and positive work environment for employees across a significant portion of a global company's footprint. It requires a blend of hands-on operational management and strategic planning.

This role is Remote, based out of EMEA, APAC or Hawaii.

Responsibilities:

Team Leadership

  • Direct a team of office managers based in larger EMEA and APAC offices
  • Liaise closely with the Manager of North American Workplace Operations and Sr. Manager of Workplace on global operations standardization
  • Manage all workplace operations in offices in EMEA and APAC regions

Global Alignment & Standardization

  • Collaborate with larger global workplace operations to establish and maintain a Workplace Business Partner program for managing expectations and requests from local teams to assess space requirements and develop space planning solutions that support company growth and operational needs
  • Contribute to the global workplace operations team on creating and establishing the 'Office in a Box' program for new, smaller co-working offices worldwide
  • Partner with the larger global workplace operations team on workplace strategy and optimization
  • Develop a regional strategy for office densification and seat assignments, working with local office managers for rollout

Facilities & Project Management

  • Supervise and monitor construction management for new office build-outs and refreshes of existing offices
  • Manage small, nimble local facilities projects
  • Maintain standards and data on required storage space

Vendor Management

  • Coordinate with local property management regarding office access
  • Administer MEP (Mechanical, Electrical, and Plumbing) systems within offices
  • Cultivate and manage relationships with local office vendors, including but not limited to janitorial, pest control, environmental & MEP, plant management, food & beverage, and local porters
  • Negotiate and uphold new and existing contracts

Stakeholder Management

  • Work alongside the physical security team to manage access control and badge distribution for new employees
  • Assist local teams and HR with the onboarding and offboarding of local employees
  • Support the physical security team in establishing local floor wardens and adhering to established Emergency Action Plans
  • Coordinate with Marketing, Security, and HR on local internal and external events
  • Collaborate with local workplace operations teams, where applicable, on shipping and receiving of swag and other items

Employee Experience

  • Manage the snack, food, and beverage program
  • Ensure clear and effective communication with internal business organizations
  • Manage local swag program for regional offices
  • Oversee workplace operations communications to employees within each region 

Financial Management

  • Create annual OpEx plan for EMEA and APAC regions and manage spend and cash flow 
  • Align with direct reports on monthly budget adherence and cash flow

 

Experience & Qualifications:

  • Experience: 7+ years of office management with project management experience, ideally within a tech or fast-paced startup environment
  • Education: Bachelor’s degree in a relevant field
  • Tech-Savvy: High proficiency in office software and project management tools (e.g., Microsoft Office Suite, Google Workspace, Asana, Trello, Slack, etc.)
  • Operations & Facilities Management: Strong background in managing complex office operations, including construction, facilities, and vendor relationships
  • Communication: Excellent verbal and written communication skills, with the ability to engage and lead teams across multiple locations
  • Problem Solving: Strong ability to anticipate challenges, find solutions, and execute under pressure
  • Strategic Thinking: Capacity to develop and implement regional strategies that align with global objectives
  • Financial Acumen: Experience with budget creation, management, and financial oversight
  • Leadership: Proven experience leading and developing a distributed team with a developed ability to operate and manage effectively across diverse cultures and time zones
  • Adaptability: Comfortable working in a fast-paced, ever-evolving environment and open-concept workspace
